About The Position

We are seeking a motivated and relationship-driven Treatment Coordinator / Referral Relationship Specialist to join our growing oral surgery practice. This role is essential to both patient experience and practice growth, combining treatment coordination, sales, and community relationship development. The ideal candidate is confident, personable, and passionate about helping patients move forward with care while serving as a trusted representative of our brand within the dental community. Job Summary The Treatment Coordinator / Referral Relationship Specialist plays a critical role in the success and growth of our practice. This position is considered a sales and relationship-driven role and is responsible for guiding patients through their treatment journey while actively building and maintaining strong referral relationships within the dental community. This individual ensures patients receive a clear, accurate understanding of their diagnosed treatment plans, presents financial options, removes barriers to care, and supports the doctor in closing cases. In addition, this role serves as the face of the brand, representing the Frontline practice and Oral Surgeon through professional outreach, community engagement, and referral development.

Responsibilities

  • Maintain a strong understanding of the practice’s lead-to-sales process and follow it consistently.
  • Nurture leads and opportunities in accordance with sales process training.
  • Present or complement the doctor’s presentation of comprehensive treatment plans.
  • Provide financial options and assist patients with third-party financing solutions.
  • Assist patients in overcoming barriers to treatment acceptance.
  • Coordinate patient care, appointments, and team handoffs to ensure a seamless experience.
  • Track case acceptance, unscheduled treatment, and report results daily and weekly.
  • Accurately document patient information in practice management and related systems.
  • Maintain individual and practice KPIs as assigned.
  • Partner with the Marketing Manager on campaigns and follow up on targeted leads.
  • Assist with content creation for marketing platforms, including patient testimonials.
  • Actively participate in seminars, webinars, and marketing initiatives to increase lead generation.
  • Schedule, organize, and support seminars, Lunch & Learns, and educational events (shared responsibility with Operations).
  • Serve as the liaison between affiliate offices, referral providers, Marketing, and Operations leadership.
  • Build, foster, and maintain relationships with current and prospective referring dental offices.
  • Prospect, contact, visit, and partner with new affiliate offices.
  • Cultivate strong professional relationships with referral providers and their teams.
  • Represent the practice at networking, community, and educational events.
  • Present to doctors or prospective patients in classroom or group settings.
  • Maintain Excel tracking sheets and update Salesforce referral and sales dashboards.
  • Ensure accurate and timely reporting of referral activity and sales performance.
