We're looking for a highly organized Travel Coordinator to support fast-paced defense programs by managing compliant travel and providing essential projects and administrative support to program leadership. This role sits at the center of program operations, coordinating with internal teams, subcontractors, and Government customers to ensure everything runs efficiently, accurately, and on schedule.

Requirements

  • 5+ years of experience in travel coordination, project coordination, or administrative support (or equivalent combination of education and experience)
  • Hands-on experience with Concur, DTS, or similar travel management systems
  • Proven experience coordinating both CONUS and OCONUS travel
  • Background supporting defense programs, government contracting, or regulated environments
  • Exceptional organizational skills and the ability to manage multiple priorities at once
  • Strong attention to detail and the ability to produce polished reports, trackers, and briefings for leadership

Responsibilities

  • Plan and execute domestic and international (CONUS/OCONUS) travel in compliance with DoD and corporate travel regulations
  • Prepare and process travel authorizations, vouchers, and trip reports
  • Maintain detailed itineraries, reservations, and change documentation
  • Monitor travel budgets, per diem rates, and cost compliance
  • Serve as the primary point of contact for all travel-related questions from employees, subcontractors, and Government customers
  • Coordinate visitor logistics, including lodging, base access, and meeting support
  • Ensure OCONUS travelers have all required documentation, including passports, visas, work permits, country clearances, and DoD-required paperwork
  • Track travel activity and prepare periodic metrics and reports for program leadership
  • Support Project Coordinators and Program Managers with meeting scheduling, action items, and program calendars
  • Assist with preparation of program documentation, briefings, and status reports
  • Maintain program trackers, risk logs, and deliverable schedules
  • Collect, consolidate, and format data for program reviews and customer updates
  • Assist with procurement actions, logistics coordination, and subcontractor documentation
  • Help monitor program milestones, staffing updates, and resource planning activities
  • Provide administrative support across functional teams to ensure alignment and timely execution
