Transportation Office Assistant SCOPE: Perform duties to coordinate the transportation of products in keeping with customer order shipping and delivery, working within the limits of standard or accepted practice. Continuously supports Sofidel’s Employee Personal Practice Policy. ESSENTIAL FUNCTIONS: 1. Supports Sofidel America’s Good Manufacturing Practices and HACCP to promote a safe, sanitary and hygienically sound workplace. 2. Schedule and arrange for the transportation of inbound and outbound product and materials for all domestic locations. Coordinate inbound and outbound trucking with customers. Work from orders or analyze requirements and determine appropriate carrier for delivery of product to customers, coordinating with customers’ or vendors traffic departments to confirm delivery or shipment. Coordinate with traffic department of customer to confirm delivery or shipment. 3. Coordinate with other departments within the company to monitor the timeliness and accuracy of shipments and deliveries. Develop shipping schedules for Receiving Department. Collaborate with Customer Service department to determine priority of and to track shipments. Communicate with accounting to verify shipments sent and received. 4. Research alternate carriers, make recommendations regarding carriers that may have advantageous pricing and delivery schedules. Negotiate contracts relating to rate structures with carriers as directed. 5. Analyze invoices to reconcile detention and mileage costs with internal records, and release payment of validated freight claims. Authorize the release of trucking information into the system. Create bill of lading with information gathered from invoices and trucking costs. 6. Analyze the organization’s traffic activities and procedures based on government regulations and report on areas of non-compliance related to the organization’s operations of that of vendor carriers. OTHER DUTIES MAY INCLUDE: 1. Perform or assist with any operations, as required to maintain workflow and to meet schedules and quality requirements. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies. 2. Maintain safe work area and comply with safety procedures and equipment operating rules keeping work area in a clean and orderly condition. 3. Participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines. 4. Perform other related duties as assigned. TOOLS AND EQUIPMENT USED: Computer and peripherals, standard and customized software applications and tools, and usual office equipment. Education/Experience: High school diploma or general education degree (GED); and one to three years related experience and/or training; or equivalent combination of higher education and experience.
