About The Position

Cadden Community Management is seeking a highly organized, detail-driven homeowners' associations (HOA) Transition Manager to oversee the onboarding and offboarding of homeowners' associations. This role owns the full transition lifecycle, ensuring a professional, well-documented, and seamless experience for Boards, internal teams, and stakeholders. The ideal candidate is confident using CRM and project management software (Zoho or similar), learns new systems quickly, and thrives in a fast-paced, process-driven environment.

Requirements

  • Experience managing projects, transitions, implementations, or onboarding/offboarding processes
  • Strong confidence using CRM and project management software (Zoho preferred)
  • Ability to quickly learn and adapt to new software systems
  • Exceptional organization, attention to detail, and follow-through
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and deadlines simultaneously

Nice To Haves

  • HOA, property management, financial services, or professional services background
  • Familiarity with HOA governing documents, financial statements, and compliance requirements

Responsibilities

  • Manage all new HOA transitions from contract execution through operational stabilization
  • Build and track detailed transition plans, timelines, and task assignments
  • Coordinate with Accounting, Community Management, Compliance, and Leadership teams
  • Collect, review, and validate governing documents, financials, contracts, and records
  • Proactively identify and resolve risks or missing information
  • Lead the structured offboarding of HOA clients transitioning away
  • Coordinate the timely transfer of association records, financials, and data
  • Ensure compliance with contract terms and statutory requirements
  • Reconcile accounts, close files, and document completion in CRM systems
  • Support leadership in minimizing disruption and reputational risk
  • Confidently use CRM and project management platforms (Zoho or equivalent)
  • Maintain accurate, real-time documentation of tasks, milestones, and communications
  • Learn and utilize HOA-specific software for association setup, configuration, and closure
  • Support continuous improvement of workflows, checklists, and documentation
  • Serve as a professional point of contact for Boards, developers, and vendors
  • Set expectations, communicate timelines, and provide proactive updates
  • Ensure smooth handoffs to Community Managers or outgoing stakeholders
