About The Position

The Administrative Assistant will provide comprehensive support to the Talent Development function, ensuring smooth execution of training programs and development initiatives. This role involves managing logistics, coordinating materials, maintaining accurate records, and assisting with content preparation and editing. The ideal candidate is detail-oriented, tech-savvy, and highly organized, with strong communication skills and the ability to manage multiple competing priorities.

Requirements

  • High School Diploma or GED required
  • 2+ years in administrative support, preferably in HR or Learning & Development.
  • Proficient in Windows and Microsoft Office 365 (Excel, Word, Outlook, Power Point and Teams) and have a general understanding of working within a computer network.
  • Must be a strong team player with the ability to collaborate with various personnel within and across departments and at all levels of leadership.
  • Strong attention to detail and organizational skills.
  • Excellent written and oral communication skills with an ability to develop strong interpersonal relationships.
  • Excellent time-management skills and ability to multi-task and prioritize work with shifting priorities.
  • Ability to work well in a large professional setting. Patience and professionalism are essential.

Nice To Haves

  • Preference given to experience with LMS platforms and video editing tools.
  • Familiarity with Smartsheet or similar project management tools.
  • Strong problem-solving and critical thinking abilities.
  • High level of adaptability and flexibility in a fast-paced environment.
  • Customer service mindset with a focus on positive participant experience.
  • Ability to maintain confidentiality and handle sensitive information.

Responsibilities

  • Manage calendars, schedule meetings, and coordinate training sessions.
  • Prepare, format, and proofread training materials for accuracy and clarity.
  • Perform data entry and tracking for attendance, completion, and certifications.
  • Support management of email inboxes.
  • Complete team expense reports with accuracy and timeliness
  • Upload courses, assessments, and resources into the LMS.
  • Enroll participants, troubleshoot access issues, and manage permissions.
  • Generate and distribute completion reports and dashboards.
  • Conduct quality checks on materials and LMS entries for accuracy.
  • Organize and distribute digital and physical training materials.
  • Maintain version control and ensure timely updates.
  • Perform video editing for training content.
  • Arrange logistics for in-person and virtual training sessions.
  • Send invitations, reminders, and follow-up communications.
  • Ensure participants receive pre-work and post-session resources.
