About The Position

Under the supervision of the Chief Operating Officer, the Training & Education Coordinator provides project management for WEAVE’s external Training & Education programming, including survey-related projects. This includes budgetary support and management, project procedure development, implementation, and evaluation. Upon hire, the Coordinator will primarily serve as the project manager for an evaluation project focused on WEAVE’s curriculum training bar and nightlife staff on how to recognize warning signs of sexual and domestic violence among patrons, and how to respond effectively through active bystander skills. The project is a partnership with the University of California, San Diego to implement the training at local establishments and evaluate the effectiveness of the program. The Coordinator is responsible for outreach to local establishments, maintaining relationships with participating establishments and participants, and coordinating the facilitation and evaluation of the program. To achieve a range of objectives, this role requires a self-motivated individual with project management experience, an ability to effectively engage stakeholders, and a skill set in delegating tasks across teams.

Requirements

  • Bachelor’s degree in Public Health, Human Services, Communications, Public Administration, or related field and at least two years’ experience in social science or non-profit project coordination/management. Combination of education and/or comparable experience can substitute for education requirements.
  • Demonstrated knowledge of basic methods and procedures for social science survey research and the ability to apply them. Demonstrated experience with creating and updating spreadsheets or other project management software to track a project budget, schedule, and deliverables.
  • Demonstrated ability to prioritize work tasks and to manage workflow in a flexible manner to accommodate shifting priorities and various deadlines.
  • Demonstrated ability to analyze operational and procedural problems and develop, evaluate, and recommend solutions.
  • Demonstrated excellent written and verbal communication skills. Demonstrated ability to correspond professionally, written or verbally, with project partners, stakeholders, participants, or internal staff inquiries. Demonstrated ability to initiate and maintain communication both internally and externally.
  • Demonstrated experience providing work direction, particularly in a non-supervisory capacity; passion for and commitment to leading and coordinating efforts across stakeholders.
  • Demonstrated ability to establish and maintain effective working relationships within and outside the organization and serve as a liaison for the project. Skilled, diplomatic collaborator and facilitator.
  • Ability to make independent decisions and exercise sound judgment.
  • Advanced computer skills in MS Excel, Word, PowerPoint, Office, and Outlook.
  • Reliable transportation to meet the expectations of the position.
  • Satisfactory completion of WEAVE’s peer counselor training program (post-hire requirement) and ongoing maintenance of certification.
  • Satisfactory results of a background check, which may include fingerprinting. Must continue to meet the established standards.

  • Knowledge of various community-based approaches to domestic violence and sexual assault intervention and prevention preferred.

Responsibilities

  • Coordinate and manage all aspects of project planning and coordination, including but not limited to: 1. Scheduling meetings, creating agendas and facilitating meetings for various project related groups, including internal and external stakeholders and advisors. 2. Documenting decisions regarding planning and development deliverables and following up on action items to ensure completion. 3. Driving the creation, submission, and approval of key deliverables. 4. In collaboration with the Communications and Prevention & Education departments, coordinating the design and development of training materials and other project collateral (both print and digital). 5. Monitoring project objectives to ensure key milestones and deliverables are met on time. 6. Maintaining documentation of project activities for reporting purposes.
  • Coordinate and manage all aspects of project implementation, including but not limited to:  1. Coordinating and conducting outreach to participating establishments and survey panelists, maintaining organized records of these activities. 2. Scheduling training sessions for participating establishments and assigning and monitoring the work of the WEAVE employees delivering the training to ensure project quality.  3. Maintaining survey panels including recruitment of new panelists and refresh of existing panelists. Serve as a point of contact for survey panelists to address survey issues, provide technical assistance, updates contact information and/or confirm incentive disbursement. Monitor and respond to messages received at project sponsored email accounts. Perform general maintenance and upkeep of survey panels. 4. Coordinating implementation and management of surveys and survey panels including monitoring panelist intake and communications, quality control, and coordination of data entry. 5. Monitoring and coordinating survey participants’ incentives, including ensuring funding is available, providing documentation for distributions, etc.
  • Work in partnership with University of California, San Diego (UCSD) on program implementation and evaluation activities, including attending periodic meetings with UCSD to discuss project progress and address potential problems. 
  • Build and maintain positive working relationships with project partner employees and volunteers, WEAVE employees and volunteers, Technical Assistance providers, and other stakeholders.
  • Assist with preparing grant and progress reports by: 1. Working with Grants & Contracts staff to ensure the timely entry of data by program staff and retrieving and analyzing reports. 2. Maintaining detailed records of activities in support of project deliverables and developing narrative content consistent with reporting requirements and program timelines. 3. Collecting narrative reports and anecdotal information from program staff and collaborative partners. 4. Writing, reviewing, and submitting reports to the Grants & Contracts Team in a timely manner.
  • Provide feedback on grant progress as requested.
  • Assist WEAVE staff implementing the curriculum with questions regarding the project.
  • Attending required meetings and training.
  • Other job-related duties as assigned
  • Comply with all applicable agency policies and procedures, including but not limited to those regarding documenting services provided, daily and accurate timekeeping, attendance, completion of required WEAVE Peer Counselor Training and continuing education, and funder required training.
