About The Position

The Timekeeping Technician supports accurate, compliant time and attendance practices at St. Charles Health System by reviewing, auditing, maintaining, and validating timecard data. This role ensures adherence to organizational policies, documented pay practices, applicable labor laws, and collective bargaining agreements through consistent review, appropriate documentation, and proficient use of the organizations timekeeping system. The Timekeeping Technician identifies and resolves timecard discrepancies, partners with Payroll and leaders to address issues, and provides education and guidance to caregivers and leadership to promote accountability and compliance. This position does not directly manage any other caregivers.

Requirements

  • High School diploma or GED.
  • Two (2) years of customer service experience in a fast-paced, data-driven environment, and at least one (1) year of experience in payroll, timekeeping, or administrative support involving adherence to policies and procedures and regular interaction with employees or customers.
  • Excellent organizational, time management, and multi-tasking skills.
  • Ability to analyze and problem solve.
  • Great attention to detail and confidentiality.
  • Excellent communication skills and ability to interact with a diverse population and professionally represent SCHS.
  • Competency in Microsoft applications including Excel, Outlook, and Word.
  • Must be able to wear appropriate Personal Protective Equipment (PPE) required to perform the job safely.

Nice To Haves

  • Associates degree in Accounting or related field.
  • Two (2) or more years of experience supporting payroll or time and attendance functions, including timecard review, data entry, and customer service support, with exposure to pay practices, timekeeping systems, compliance requirements, and collective bargaining agreements.

Responsibilities

  • Reviews, audits, and maintains timecards to ensure accuracy, completeness, and compliance with hospital policies, pay practices, labor laws, and applicable collective bargaining agreements.
  • Ensures timely and accurate data entry and timecard processing to support payroll deadlines.
  • Monitors clock-in and clock-out activity to ensure all hours worked, paid time off, unpaid leave, and other absences are accurately recorded for each bi-weekly payroll cycle.
  • Applies and validates pay practices and union contract provisions, including overtime, premiums, differentials, and other contract-driven pay rules.
  • Identifies, investigates, and documents timecard discrepancies, unusual entries, or non-compliant activity; escalates issues to Payroll leadership as appropriate.
  • Obtains required approvals and ensures all timecard corrections, adjustments, and edits are properly documented and retained in accordance with policy.
  • Serves as a primary point of contact for caregivers and leaders regarding timekeeping questions, corrections, and system usage.
  • Provides education and guidance on time and attendance policies, pay practices, and timekeeping expectations to promote accountability.
  • Partners with the Payroll team and leadership to support timely issue resolution and consistent application of timekeeping standards.
  • Identifies trends, recurring issues, or compliance risks and communicates findings to Payroll leadership.
  • Maintains proficiency in the timekeeping system.
  • Supports system updates, enhancements, and process improvements related to time and attendance.
