About The Position

The Timekeeper Administrator is responsible for ensuring accurate and compliant timecard administration, with specific attention to California’s wage and hour laws. This role supports payroll processing, maintains required records, ensures adherence to California’s strict rules for meal and rest periods, and partners with HR, Payroll, and Operations to ensure accurate pay and legal compliance.

Requirements

  • 2+ years of experience in timekeeping, payroll support, HR operations, or related administrative roles.
  • Knowledge of California wage and hour rules, including daily overtime, meal period recording, and timekeeping record requirements. (Supported by California Wage Orders and Labor Code).
  • Experience using electronic timekeeping systems (e.g., UKG/Kronos, Ceridian, ADP, Workday).
  • Strong attention to detail, problem-solving skills, and confidentiality.

Nice To Haves

  • Experience in multi-shift, high‑volume environment.
  • Familiarity with California local ordinances affecting scheduling or pay practices
  • Spanish speaker (preferred) - ability to support Spanish‑speaking employees
  • Weekend availability (preferred) based on operational support needs.

Responsibilities

  • Maintain accurate daily time records, including employee start/end times, split shifts, and required meal periods, as mandated by California law.
  • Monitor and validate recorded meal periods, which must be captured
  • Track overtime in accordance with California’s daily overtime requirements
  • Ensure payroll records are maintained
  • Review missed punches, exceptions, and discrepancies, ensuring accuracy and adherence to California recordkeeping obligations.
  • Prepare, audit, and submit accurate time and attendance data for payroll, ensuring compliance with California overtime, meal-period penalties, and wage statement requirements.
  • Research and resolve pay-impacting timekeeping issues (e.g., overtime variances, meal period violations, retro corrections).
  • Partner with the Payroll team to ensure timely processing of wage adjustments in accordance with California wage and hour standards.
  • Support employees and managers with timekeeping system training, focusing on California-specific policies such as meal and rest break compliance.

  • Conduct regular audits to verify accuracy of employee time entries, meal period compliance, and California-specific requirements such as daily overtime and split-shift tracking.
  • Generate compliance reports for management, HR, and Payroll, including hours worked, break compliance, overtime summaries, and potential wage‑and‑hour risk areas.
  • Identify and escalate discrepancies in timekeeping practices and assist with corrective action as needed.
