About The Position

Position Title: Ticketing & Communications Coordinator. Department: Music Organizations. Classification: Non-Exempt. FTE: 0.75. Work Schedule: 30 hours per week. The standard 40-hour work schedule is Monday - Friday, 8:00 am - 5:00 pm; travel up to 15% of the work schedule, which includes local (Twin Cities metro area) and national travel; overnight trips average 1–2 trips per year; variations to this schedule (for FTE less than 1.0), or flexible work arrangements, can be proposed and are subject to approval by HR and relevant supervisors. Work Location: On campus. Opportunities to occasionally work remotely during academic breaks. Hourly Rate: $19 – $21.

Requirements

  • High School diploma or equivalent work experience.
  • 1+ year of experience in ticketing, box office management, or customer service.
  • Maintain a valid driver’s license and meet St. Olaf College driver authorization criteria with a satisfactory driving record.

Nice To Haves

  • College degree or equivalent work experience.
  • 3+ years of experience working with Eventbrite, databases, ticketing software.
  • 1+ years of experience working in communications, social media, marketing.
  • Leadership experience in a musical ensemble at St. Olaf College, ideally an ambassador ensemble.
  • Related work in customer service or sales.
  • Experience working in a college or university setting.

Responsibilities

  • Ticketing/Customer Service. Provide a seamless, customer-centric and accurate ticketing process that drives both sales and customer satisfaction. Manage all ticketed events and ticket-related marketing strategies for Music Organizations as necessary through Eventbrite and third-party box offices; develop and maintain policies and procedures for ticketing best practices. Manage ticketing and calendar listings for Music Organizations. Manage ticketing build and plan for Christmas Festival and ensemble tours. Work independently and with data management services to maintain/update patron records and promotional databases; coordinate and manage content of ticketing web pages; pull and analyze reports. Create a custom seating map to support St. Olaf Christmas Festival ticketing needs (Regent and artist comps, emergency ticket holds, etc.). Coordinate special requests (holds for Regents, VIPs, Music Orgs artistic needs, etc.) and additional requests. Incorporate marketing language and graphics from Music Orgs to ensure all ticketing events are accurate and consistent. Create promo codes/access codes to support Christmas Festival pre-sale strategy in collaboration with Data Services and Music Orgs. Test all ticketed events for functionality, testing all transactions and promo codes. Work with third-party box offices to ensure all events and sales operate smoothly. Manage all customer service requests including phone calls, in-person and via email as they come into the college (redirect to third-party box offices as needed). Staff Christmas Festival and Ambassador ensemble tours as needed, to ensure box office and sales strategies are successfully executed. Manage box office student ambassadors, when necessary, by hiring, training, and scheduling students for Christmas Festival pre-sale week and concert box office.
  • Communications/Marketing. Draft content and work with the Assistant Director of Music Orgs for Audience Development to schedule and distribute marketing emails for ensemble performances throughout the academic year, both on tour and on campus. Support Assistant Director of Music Orgs in drafting and executing marketing tactics that include customer emails, press releases, media lists, event calendar listings, printed promotional materials, advertising copy and design, etc. Create organized spreadsheet of grassroots contacts (schools, churches, influencers, etc.) for domestic tour locations and enhanced events, take lead on concert invitations and promotional outreach. Create and implement a comprehensive and robust social media strategy to elevate and promote the Ambassador and Resident ensembles. Work with orgs staff, MarCom, Admissions, conductors and students to incorporate best practice strategies for highly visible and engaging social media posts to elevate the ensembles, aiding to the overall musical college profile and recruitment efforts. Assist in updating, upgrading, and managing the websites representing Music Orgs ensembles and the Christmas Festival. Implement best practices to raise the profile and awareness of Orgs ensembles and audience building in all spaces. Support audience building strategies for increasing the presence of prospective students, through development of high school engagement/workshops on and off campus. Create and implement a personalized approach to reaching and connecting with alumni (especially of the Ambassador groups) in advance of tours for deeper engagement and audience building support in tour cities. Track and measure marketing data and audience metrics from tours and create recap documents post-Ambassador tours.
  • Administrative. Collect and process payments, invoices, and receipts for the office. Provide general administrative support for the office as needed and requested. Assist in concert program creation and tour logistic support as requested. Proofread materials, emails, and programs as relates to ticketing information, box office coordination. Complete and meet deadlines for required training and performance management cycle. Perform other duties as assigned.
