About The Position

The Temporary Student Services Secretary provides comprehensive administrative and financial support to the Preschool Special Education Supervisor and associated staff. This role supports daily office operations, student tracking, purchasing and budgeting functions, staff documentation, and confidential record management. The ideal candidate is organized, detail-oriented, and comfortable managing multiple priorities in a school-based environment.

Requirements

  • High School Diploma or GED required; post-secondary training preferred
  • Prior secretarial or clerical experience required
  • Experience in a school district or student services environment preferred
  • Knowledge of special education processes, procedures, and compliance requirements strongly preferred
  • Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint), email systems, Microsoft Forms, and database platforms
  • Must be able to obtain current PA Police, Child Abuse, and FBI fingerprint clearances

Responsibilities

  • Managing confidential offices and handling sensitive communications
  • Calendar management, meeting coordination, and correspondence drafting
  • Student database maintenance and records management in compliance with regulations
  • Preparing purchase orders, processing invoices, tracking budgets, and assisting with billing verification
  • Maintaining financial documentation and expense tracking spreadsheets
  • Coordinating inventory, equipment tracking, and vendor/courier communication
  • Supporting staff with documentation, compliance tracking, certifications, and HR-related paperwork
  • Strong organizational skills with the ability to manage multiple deadlines
  • Professional communication skills when working with internal staff, families, agencies, and business office personnel
