JOB SUMMARY Represent Universal Creative Talent Acquisition (TA) as main point of contact for candidates and managers of all levels in the interview and new hire process. Partners with other departments scheduling candidate interviews, arranging travel for candidates, conducting reference checks, relocation administration and new hire paperwork) to deliver a seamless candidate experience. Trusted to identify and alert the Senior Recruiter to any possible roadblock with the candidate or process. Responsible for assuring systems and databases as related to Talent Acquisition are updated, maintained and utilized effectively, efficiently and in a timely manner. Responsible for maintaining and updating, and at times, analyzing reports with assigned data in an accurate, observant, and timely manner.

Requirements

  • Proficient in computer programs and systems, preferably in PageUp, PeopleSoft and similar software programs utilized in a recruiting/staffing environment.
  • Must possess excellent Microsoft capability and skills, especially in Outlook, Excel and Word.
  • Professional experience working with executives, external customers and clients and travel industry agents and providers is required.
  • Must understand the importance of the candidate experience and the long-term value to the company.
  • High school degree or GED is required.
  • Associate’s degree (AA) is required.
  • At least 4 years of related experience in an administrative/analytical support role, preferably in Human Resources, staffing/recruiting agency, or similar role in a high volume business environment; or equivalent combination of education and experience.

  • Bachelor’s degree is preferred.

Responsibilities

  • Acts as main point of contact for candidates of all levels which involves: Scheduling candidate interviews and attending them, as needed, in place of or with the Supervisor. Coordinating and making candidate travel arrangements, including airline, hotel and rental car reservations as required. Conducting online reference checks. Preparing offer letters. Receiving and processing signed, accepted, new hire offer letter and coordinating and processing new hire paperwork, including scheduling for fingerprinting. Partnering with the Administration, Travel and Global Mobility departments to provide new hire information, as appropriate. Processing and securing education verifications. Managing I-9 verification process for NBCU paid new hires. Processing and distributing sign-on bonuses. Processing candidate reimbursements for travel expenses. Reconciling expense reports.
  • Provide administrative support to the Talent Acquisition team, including but not limited to being responsible for input of all data into Talent Acquisition systems and databases, (e.g. PageUp, Peoplesoft, SAP, Brassring, SNAP, Concur, SharePoint, Envoy), in an accurate and timely manner. Responsible for ensuring in advance that the appropriate departmental and/or functional (financial) accounts are charged for any fees or costs for travel.
  • Maintains and updates all relating Talent Acquisition reports and databases, including Position Tracking, Team Member Referrals and the candidate databases as required. Trusted to notice and alert Sr. Recruiters to trends affecting TA.
  • Strategize ways for improvement by continuously reviewing processes and procedures to ensure goals are accomplished efficiently and in timely manner.
  • Onboard new Senior Coordinators and provide ongoing training, as necessary.
  • Support Supervisor by conducting phone screens and resume review, as needed.
  • Key liaison with NBCU, Comcast as well as internal HR entities with the development, implementation and ongoing maintenance and troubleshooting of technology needs for Talent Acquisition.
  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
  • Performs other duties as assigned.
