About The Position

MAIN FOCUS: Serving as a key partner to senior communications leaders, this role combines executive support, project management, and content operations to advance the Foundation’s strategic storytelling and organizational effectiveness. LOCATION: Hybrid Position – the candidate will work an average of eight (8) days per month in our Palo Alto, CA office; the successful candidate will be based in the Bay Area. WHAT YOU'LL DO... In this role, you’ll provide high-level support to the Senior Vice President and Assistant Vice President of Strategic Communications, ensuring seamless coordination across executive priorities and departmental projects. You’ll manage complex schedules, meetings, and communications with a high degree of discretion and sound judgment, while also driving key content and digital initiatives—from project managing the Foundation’s gift acknowledgment program to maintaining internal communication systems and resources. You’ll maintain visibility across active and upcoming projects, helping to prioritize work, streamline workflows, and ensure alignment across the Strategic Communications team. Your work will help keep the team organized, connected, and delivering impactful storytelling that advances the Foundation’s mission. This is a temporary, full-time position lasting approximately five months, from April through September 2026. The role reports to the Senior Vice President of Strategic Communications, with a dotted-line reporting relationship to the Assistant Vice President, Strategic Communications and Senior Director of Content & Digital. The compensation range for this role is $45.67-$50.48 per hour.

Requirements

  • Bachelor’s degree with relevant experience or 5+ years of directly related professional experience (or equivalent education and experience).
  • Strong organization and project management skills, and excellent attention to detail.
  • Excellent communication skills with ability to build strong relationships with both internal and external stakeholders.
  • Strong proficiency in leveraging AI tools (such as ChatGPT, Claude, or similar platforms)

Responsibilities

  • Support the SVP in all aspects of preparation, ensuring they are informed, organized, and on time for meetings and key engagements.
  • Manage complex calendars and scheduling across Outlook, Teams, and other Microsoft products, balancing competing priorities with discretion and efficiency for SVP and AVP.
  • Plan, coordinate, and facilitate meetings with cross-functional teams, stakeholders, and external vendors while ensuring confidentiality and timely communication.
  • Create and prepare meeting materials such as agendas, memos, and presentations.
  • Perform a range of administrative and project management duties.
  • Support project management for the AI Taskforce by coordinating meetings, tracking progress against key initiatives, and ensuring timely follow-through on action items and deliverables.
  • Actively leverage technology, including AI tools, to enhance efficiency, streamline workflows, and support high-quality, data-informed work across projects and communications.
  • Manage the department’s intake system and maintain a high-level view of all active and upcoming Strategic Communications projects.
  • Update the StratComms Insider Pages regularly with new content.
  • Project manage our gift acknowledgment program: researching gift impact and donor history; overseeing review and approval process; tracking and recording status changes; and printing and mailing physical letters.
  • Ensure “content primers” and other materials remain up to date—refreshing data, faculty names, featured stories, and other materials.
  • Support production of briefings for faculty members, leadership, and donors related to events and speaking engagements.
  • Assist with scheduling for faculty calls, video shoots, and other projects—and offer day-of, in-person support as needed.
  • Co-facilitate monthly org-wide meeting for content creators, sharing out notes and opportunities to repurpose content.
  • Maintain org-wide Content Hub, ensuring users add links to finished projects, utilize appropriate tags, and ensure data integrity.
