The Technology Asset and Cost Coordinator supports the day to day execution of asset tracking, purchasing coordination, and cost data entry. This role ensures that Technology and Accounting have accurate and up to date information while assisting in maintaining the integrity of asset, software, and vendor records. This position focuses on execution, coordination, and data accuracy, serving as the operational support layer for asset and cost governance.

Requirements

  • 1–3 years of experience in administrative, procurement, or coordination roles
  • Strong attention to detail and organizational skills
  • Basic understanding of purchasing and cost tracking
  • Proficiency in Microsoft Office, especially Excel

Responsibilities

  • Asset Tracking and Inventory Support
  • Assist in cataloging newly acquired assets with correct cost, assignment, and location
  • Update asset records during onboarding and offboarding
  • Track asset status such as in use, inventory, or redeployable
  • Support physical inventory validation and cleanup efforts
  • Purchasing and Invoice Coordination
  • Coordinate ordering of technology equipment and software
  • Submit invoices to Accounting with proper cost center alignment
  • Ensure purchasing records are complete and properly documented
  • Assist in tracking purchase history and vendor transactions
  • Software and License Data Entry
  • Maintain basic software license records within the system
  • Assist in tracking license assignments to users
  • Support preparation for periodic license reviews
  • Vendor and Contract Record Support
  • Enter and maintain vendor contact information
  • Assist in updating contract records and renewal dates
  • Help organize documentation related to vendors and agreements
  • Reporting and Data Accuracy
  • Assist in generating basic reports for Technology and Accounting
  • Ensure data accuracy across asset and cost systems
  • Support cleanup of outdated or incomplete records
