Requirements

  • At least 1 year of experience in an office or administrative support role
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organizational, planning, and time management skills
  • Must be able to take direction from multiple individuals and have proven ability to prioritize tasks with conflicting deadlines
  • Detail-oriented with a structured and precise approach to work
  • Reliable team player with a high level of integrity and ability to handle confidential information
  • Proactive mindset with the ability to anticipate needs and take initiative
  • Excellent written, editing, and proofreading skills in English
  • Strong verbal communication skills in English

Nice To Haves

  • Associate’s degree preferred (Business, Communications, Public Relations, Journalism, or related field)
  • Basic German language skills are a plus

Responsibilities

  • Provide direct support to the Executive Assistant across a wide range of administrative and operational tasks including HR, purchasing, and invoicing
  • Assist with shipping and receiving operations, including preparing shipments, tracking deliveries, and verifying incoming goods
  • Assist with ISO-related documentation control, record keeping, and compliance tracking to ensure adherence to standards
  • Maintain organized systems for files, records, and internal documentation to ensure accuracy and accessibility
  • Sort, screen, and distribute incoming and outgoing mail
  • Complete general correspondence and perform various administrative tasks
  • Assist with special projects as needed
