We are seeking a highly organized and proactive Team Assistant to join the Collections and Foreclosure team. The ideal candidate will excel in a professional and team-oriented environment. The role requires excellent communication skills, meticulous attention to detail, and the ability to thrive in a fast-paced environment.

Requirements

  • Strong verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Demonstrate strong multitasking skills including effectively managing high‑volume tasks within shared mailboxes.
  • Proficient in Microsoft Office Suite and PDF editing tools.
  • Professionalism and ability to work both independently and collaboratively.
  • High school diploma required, associate or bachelor’s degree in business, Legal Studies, or a related field preferred.
  • Must have a minimum of 2-3 years of relevant experience.

Nice To Haves

  • Experience with collection and foreclosure software preferred.
  • Familiarity with iManage, FileSite, and Aderant a plus.

Responsibilities

  • Generate a variety of letters such as retainer letters, satisfaction of lien letters, and disbursement letters.
  • Request title reports.
  • Coordinate with process server for service of complaints.
  • Coordinate hearing dates with opposing counsel and set hearings.
  • E-file and e-record pleadings and documents across various Florida counties.
  • Handle attorney e-signings and manage outgoing mailings.
  • Process check requests, deposits, file closures, and other administrative tasks.
  • Assist Paralegals with phone coverage.
  • Review, prioritize, and respond to incoming items in a timely manner to meet departmental deadlines. Utilize a paperless workflow, ensure accurate electronic documentation, organized digital task management, and streamlined communication across teams.
  • All other duties as may be required of the position.
