We are seeking a detail-oriented and proactive Tax Scheduling Manager for our Boca Raton office. This role is responsible for overseeing the scheduling, tracking, and assignment of tax compliance work. The Tax Scheduling Manager ensures deadlines are met, workloads are balanced, and work flows smoothly between staff, managers, and partners. The ideal candidate will combine technical understanding with strong organizational and communication skills to keep the tax department operating efficiently. As Tax Scheduling Manager, you’ll play a critical role in workload management, team efficiency, and ensuring client commitments are consistently met. This position operates as part of a US East Coast-based team, with typical working hours aligning with EST to facilitate effective collaboration. Requirements

  • Experience in public accounting required.
  • Strong organizational and scheduling skills with the ability to manage multiple, competing deadlines.
  • Proficiency with scheduling and workflow management tools (e.g., Doc.IT, Excel pivot tables).
  • Excellent communication skills with the ability to collaborate across all levels of the firm.
  • Proven ability to anticipate and resolve scheduling conflicts and resource challenges.

Nice To Haves

  • Bachelor’s degree in Accounting, Finance, or a related field is a plus.
  • Experience from another CPA firm or broader accounting environment is strongly preferred.

Responsibilities

  • Manage and oversee Audit Doc.IT assignments to ensure accuracy and timely completion.
  • Assign tax returns and projects to staff based on experience level, capacity, and deadlines.
  • Track and monitor all audit and tax due dates to ensure compliance deadlines are met.
  • Prepare and distribute due date recap reports for leadership review.
  • Develop and maintain manager pivot reports for resource allocation and workload distribution.
  • Monitor review timing to ensure manager and partner reviews are completed within established deadlines.
  • Track and balance tax staff workloads, reallocating resources as needed to maximize efficiency.
  • Lead and facilitate partner pivot meetings, providing updates on workload and due date status.
  • Support partner pivots with accurate, timely scheduling and workload data.
  • Review and analyze tax staff timesheets to monitor productivity, efficiency, and workload trends.
