About The Position

The Tax Preparation Assistant will assist tax professionals by organizing and recording incoming correspondence, handling Power of Attorney (POAs), and ensuring comprehensive documentation is forwarded to the tax professionals. Additionally, the Administrative Assistant will play a pivotal role in maintaining organized records, coordinating meetings, and facilitating efficient communication within the team. Requirements

  • At least 1–2 years of experience providing administrative or operational support to a team of tax preparers.
  • High school diploma or general education degree (GED); or six to twelve months related experience and/or training; or equivalent combination of education and experience.
  • Ability to flexibly approach tasks and adapt to evolving work requirements.
  • Demonstrates attention to detail, ensuring accuracy in all aspects of the role.
  • Effective verbal and written communication skills to interact with tax professionals and team members.
  • Proactively identifies and addresses requirements, anticipating the needs of the tax professionals.
  • Maintains a high level of professionalism in handling sensitive information, interacting and collaborating with team members.

Responsibilities

  • Maintain confidentiality of highly sensitive tax information.
  • Process Power of Attorney (POA) requests efficiently and accurately.
  • Transcribe important information from various sources to maintain comprehensive records.
  • Draft and manage deadlines to ensure timely completion of tasks.
  • Receive and manage correspondence from various departments related to clients, IRS, and state agencies.
  • Initiate communication with clients via SMS to obtain necessary signatures for documents.
  • Answer phones and route calls to the correct tax professional.
  • Listen to tax professional voicemails, assign them to designated tax professionals, and update CRM with important notes.
  • Collaborate with tax professionals to enhance communication strategies, adapting to individual preferences.
  • File and retrieve client records, documents, and reports efficiently.
  • Handle third-party transfer requests received via Slack, ensuring attention to detail in preparing recall request forms for mailing.
  • Demonstrate adaptability in working with two different CRMs (Logics and Salesforce).
  • Schedule meetings and/or conference calls to facilitate effective team communication.
  • Other duties and responsibilities as assigned.
