The Talent Acquisition Coordinator supports the full-cycle talent acquisition function with a primary focus on agency candidate processing, sourcing, recruiting operations, and coordination activities. Partners closely with Talent Acquisition Partners, hiring managers, staffing agencies, and the Human Resources Team to deliver positive candidate experience and ensure efficient recruiting operations.

Requirements

  • 2–4 years of experience in recruiting coordination, talent acquisition operations, or HR support, or equivalent combination of education and experience, preferably within construction, engineering, or a large, decentralized organization.
  • Hands-on experience with an applicant tracking system; Workday experience strongly preferred.
  • Proven ability to manage high-volume, detail-oriented administrative processes with accuracy and efficiency.
  • Strong communication, organization, and time-management skills.

Responsibilities

  • Agency Candidate Processing & Coordination Serve as the primary point of contact for staffing agencies for assigned requisitions.
  • Review, process, and disposition agency-submitted candidates in accordance with internal policies and contractual guidelines.
  • Coordinate agency compliance requirements, documentation, and communication throughout the hiring process.
  • Sourcing & Talent Support Conduct proactive sourcing activities for corporate, field, and early-career roles using job boards, LinkedIn, referrals, and internal databases.
  • Build and maintain talent pipelines for recurring and hard-to-fill positions.
  • Support recruiters with market research and candidate outreach as needed.
  • Provide support to leadership on relocation mobility.
  • Interview Coordination & Candidate Experience Coordinate and schedule phone, virtual, and in-person interviews across multiple stakeholders.
  • Manage interview logistics, including calendar scheduling, meeting confirmations, and interview materials.
  • Serve as a primary point of contact for candidates during the interview process to ensure a professional and positive candidate experience.
  • Collect, track, and communicate interview feedback from hiring teams.
  • Coordinate next steps, including additional interviews, assessments, offers, or disposition decisions.
  • Ensure timely follow-up with candidates and agencies following interviews.
  • Intern & New Graduate Hiring Support Manage administrative components of the intern and new graduate offer process, including offer tracking, approvals, and documentation.
  • Support onboarding coordination for interns and entry-level hires in partnership with HR and hiring managers.
  • Assist with conversion tracking and post-program hiring activity.
  • Campus Recruitment Support Support campus recruiting initiatives, including career fairs and information sessions.
  • Coordinate interview scheduling, candidate communications, and offer logistics for campus hires.
  • Maintain candidate data and reporting related to early-career recruiting efforts.
  • Candidate Referral Coordination Administer the associate referral process, including referral intake, tracking, communication, and status updates.
  • Ensure referral candidates are properly tagged and managed within the applicant tracking system.
