About The Position

The Talent Acquisition Administrative Assistant collaboratively partners with hiring managers and our Talent Acquisition Team to find process and track candidates and new hires. They help identify key performance factors, develop sourcing pools and establish process efficiencies. We are looking for a Talent Acquisition Administrative Assistant to join our HR team. This position is Full-Time | Hourly | Full Benefits | Onsite 5 Days a week in our San Diego Corporate Office. Pay Range for this position wage range is: $22-$24 an hour.

Requirements

  • Advanced knowledge of Excel
  • 1 year experience in human resources as an administrative assistant or coordinator or equivalent
  • Proficient in Microsoft Office suite.
  • Ability to work in a fast-paced environment.
  • Ability to build strong relationships.
  • Ability to maintain a strong sense of urgency.
  • Ability to handle confidential information with great sensitivity.
  • Ability to establish priorities, work independently and proceed with objectives.
  • Strong analytical skills and problem-solving capability
  • Strong administrative skills
  • Strong skills in interpersonal communication, writing and organization

Nice To Haves

  • Bachelor’s Degree strongly preferred.
  • Bilingual / Spanish / English strongly preferred

Responsibilities

  • Maintain communication with active candidates during the hiring process to ensure continued interest and to address and anticipate issues.
  • Proactively create applicant pools and talent pipelines by posting job ads through job boards, social media, state employment agencies, trade schools, professional associations, and employee referral programs.
  • Ensure pre-employment screenings are completed promptly and accurately.
  • Ensure proper onboarding for new hires and the necessary paperwork is completed promptly and accurately.
  • Track and document financial data for the department
  • Ensure positive candidate experiences from the initial application to the final on-boarding process.
  • Update and maintain trackers and reports, such as the applicant tracking system data and reports, along with other related administrative responsibilities.
  • Manages departmental mailbox
  • Schedules and organizes interviews
  • Assists with recruiting campaigns and outreach
  • All other duties as assigned
  • Develop and maintain strong relationships with hiring teams to understand the business and staffing need and become a true talent partner to the organization.
  • Work quickly to address and resolve internal and external customer needs.
