About The Position

Premier Orthopaedics, in partnership with Philadelphia Hand to Shoulder, is seeking a dedicated and skilled Surgery Scheduler to join our team in West Chester & Kennett Square, PA . The Surgery Scheduler I is responsible for coordinating the patient’s office and hospital based medical procedures to include: making reservations at the hospital, arranging anesthesia, communicating with PCP offices, coordinating with vendors of surgical devices/implants representatives and surgical assistants, providing the necessary education, instructions and paperwork, and confirming all steps with all parties before the surgery date. This position requires knowledge of insurances and commonly used concepts, practices, and procedures as it relates to surgery scheduling.

Requirements

  • High school diploma/GED or equivalent working knowledge experience preferred.
  • Minimum of one – two (2) years of medical office scheduling or administration experience in a hospital or similar environment.
  • Requires knowledge of insurance rules and regulations, coding and medical terminology, and computer scheduling systems.

Nice To Haves

  • Allscripts Pro Suite or another Electronic Medical Records experience highly preferred.

Responsibilities

  • Schedules office and hospital-based medical procedures for patients utilizing the appropriate scheduling codes.
  • Interfaces with the appropriate staff to ensure a cohesive working relationship in providing patient care.
  • Enters notes and/or special instructions for scheduling in the EMR system and updates the system as needed.
  • Scribes voicemails and returns appropriate calls in a timely manner as needed.
  • Calls patients to schedule surgery within 48 hours of the order being signed and schedules all pre-op and post-op appointments for the patient.
  • Tracks and obtains medical clearances and pre-surgical testing for scheduled surgeries/procedures.
  • Provides ongoing communication with patients regarding pre-certification, authorization, financial counseling, and scheduling process.
  • Confirms patient’s insurance provider and either obtains prior authorization or communicates need for prior authorization to appropriate parties needed.
  • Completes accurate documentation of informed consent with patient for surgery/procedure and collects patients’ financial responsibility in person or via telephone.
  • Communicates clinical instructions needed for surgery/procedure, including but not limited to information regarding testing, time of patients scheduled arrival and other relevant details.
  • Reviews discharge instructions with patients and ensures proper follow-up appointments are scheduled as needed.
  • Updates patient information in the practice management system and EMR.
  • Ensures canceled appointments and related ancillary appointments are canceled and communicated to all stakeholders.
  • Assists with other office duties as needed, including but not limited to checking patients in/out, registering patients, preparing charts, answering phones, scheduling appointments, and completing disability and workers compensation forms.
  • Follows all practice/site specific protocols pertaining to this job description.
  • Other duties as assigned.
