About The Position

The Surgery Scheduler is responsible for accurate scheduling of surgeries as directed by the physician; including ensuring that all patient demographic information is obtained correctly at the time of the surgery. These services include surgery scheduling at various hospitals and surgical centers. The Surgery Scheduler serves as a liaison between the hospital, patient and physician.

Requirements

  • High School Graduate or GED
  • Minimum of three years surgery scheduling experience
  • Reasoning Ability Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Computer Skills To perform this job successfully, an individual should have thorough knowledge in computer information systems.

Nice To Haves

  • Medical Assistant Certification or Certified Nursing Assistant Preferred

Responsibilities

  • Schedule patients accurately and efficiently for any and all surgical procedures requested by physicians. This includes scheduling of pre and post operative appointments and imaging as well as attaining medical clearances etc.
  • Responsible for providing patients with all necessary information regarding their procedure. This includes but is not limited to special diet or prep instructions, general insurance information, arrival times, dates, locations, etc.
  • Communicates effectively and in a friendly manner with patients, other staff and physicians as well as outside sources.
  • Organizes work for efficiency and problem solving as related to surgery scheduling and its impact on physicians and clinical office.
  • Serve as contact for hospitals, surgery centers and physicians regarding schedules, procedures, or concerns while sharing information and working with manager, supervisor, co-schedulers and physicians.
  • Responsible for being up-to-date on all insurance requirements and following all guidelines, as well as obtaining prior authorizations and notifications and verifying insurance benefits.
  • Responsible for documenting scheduled surgeries in Medent under chart notes. Information to be included: person and date of the individual spoken to at the hospital or surgery center, date, prep and any special instructions to be given including notification of equipment needed for the surgical procedure.
  • Responsible for entering all demographic information including insurance into Medent as well as checking patient’s insurance for pre-certifications, prior authorizations and referrals.
  • Responsible for rescheduling and cancelling surgery and post-op appointments in a way which minimizes any inconveniences to the patient, including notification to the correct hospital or surgery center.
  • Responsible for maintaining effective and accurate daily physician surgery schedules.
  • Communicates effectively and compassionately with patients.
  • Communicate effectively with staff, management, physicians, and outside contacts.
  • Represents U.S Urology Partners in a professional manner related to appearance, communication and the maintenance of patient confidentiality.
  • Other duties as assigned.
