The purpose of the position is to assist Family Coaches and other staff members in the accomplishments of their daily tasks. This position provides administrative background support for daily agency activities. It may be responsible for maintaining accurate financial/payroll records of daily branch office transactions, technical support, as well as providing program information to the public, and assistance to clients.

Requirements

  • Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR An associate degree in any field; OR An equivalent combination of education and experience
  • Experience maintaining organized workflows, accurately manage high-volume inquiries, and consistently apply attention to detail when handling records, communications, and customer interactions
  • Experience explaining rules, regulations and procedures for a program/service
  • Experience with computers includes processing, entering and verifying detailed data
  • Experience communicating with and resolving conflicts/disputes with clients or customers/experience working with a diverse population
  • Possess a valid driver's license and acceptable driving record to use state vehicles
  • Good attendance pattern and appropriate use of accrued paid leave to ensure workload coverage for vacations and other leaves, as well as acceptable customer service for the Oregonians we serve

Responsibilities

  • Assist Family Coaches and other staff members in the accomplishments of their daily tasks
  • Provide administrative background support for daily agency activities
  • Maintain accurate financial/payroll records of daily branch office transactions
  • Provide technical support
  • Provide program information to the public
  • Provide assistance to clients
  • Issue EBT cards/updated terminal (when appropriate)
  • Maintain security on blank EBT’s and checks
  • Maintain and process appropriate logs and order EBT cards
  • Monitor family coach calendars by creating and rescheduling appointments with Oregonians
  • Support family coach team by assigning cases and transferring cases through appropriate processes
  • Maintain security and accurate logs on all negotiable documents
  • Coordinate facilities and equipment maintenance as needed
  • Order and maintain office and employee equipment ensuring accuracy in documentation
  • Provide training to other clerical staff, volunteers and others, as requested
