About The Position

The Support Center Coordinator position sets the first impression for all guests, in-person, phone and email. He/she is responsible for front office activities which includes the reception area, meeting rooms, mailing station, office supplies, and support center facilities. This position is also responsible for maintaining office equipment, administrative support and general upkeep of the facility.

Responsibilities

  • Manages the support center reception area by answering the main office phone line, greeting visitors, welcoming guests, and facilitating their meeting with the appropriate teammate.
  • Manage conference room schedules and room readiness before and thru the meeting event, including table set-up, audio/visual needs, snack/beverage/lunch needs, post meeting room reset.
  • Ensure cleanliness of staff kitchen and conferences rooms including maintaining the Keurig Coffee machine in the break room.
  • Assists with administrative functions at the support center and as needed by executives.
  • Fulfill donation Gift Basket requests.
  • Monitor copier/printer/fax machine, mail machine, and FedEx mailing station for usage and schedule maintenance if needed.
  • Responsible for ensuring office supplies are available, stocked and organized.
  • Mail packages and shipping needs for the support center.
  • Distribute incoming mail and arrange safe disposal of junk mail.
  • Assist the Guest Recovery Department with responding to social media comments as well as guest emails, ensuring the guests concern is logged appropriately and that the guest is compensated when needed.
  • Other duties as assigned.
  • Assist other departments as needed.
