About The Position

Oversees a range of strategic supply chain functions at the system level. Duties may include data analytics, purchasing, demand planning, contracting, sourcing, technical integrations, quality assurance, compliance, training oversight, master data manipulation and inventory redistribution. Translates manager instructions into work assignments for subordinate analysts or other individual contributors. Implements systemic protocols to increase product delivery, create efficiencies, enhance affiliate performance, reduce error rates, minimize non-value added work, right-size the item master and deliver appropriate services on-time. Builds professional relationships between Supply Chain staff and healthcare workers through competent job performance, and effective communication. Delegates high-level projects and tasks in conjunction with system-level managers to promote an efficient, cost effective process that meets the long term vision of Supply Chain's senior leaders. Builds strategic partnerships and articulates supply chain objectives to a wide-variety of key stakeholders. May act as backup for system-level managers to advance strategic projects that impact the full range of supply chain operations across all affiliates. JOB ACCOUNTABILITIES: OPERATIONS: • Monitors and maintains records center operations including scanning, record receipt, storage, retrieval, and disposition of specific records and information occurring on a 24/7 basis. • Prepares reports on all phases of records and information disposition programs as required. • Ensures security and preservation of records and information in storage and efficient utilization of storage space. • Provides accurate documentation of all individual transactions personally processed on a daily basis. • Ensures appropriate record disposition, and that all related transaction statistics are recorded and maintained. • Communicates and interacts effectively with all contacts. • Maintains physical plant and equipment, while independently performing assigned duties in a safe and conscientious manner. PEOPLE: • Participates in the establishment and maintenance of various measurable standards of staff performance. • Develops and maintains high staff morale and enhances interaction, through effective leadership, with department employees on all shifts. • Rotates staff to determine appropriate standards of performance, associated with various assignments, as needed. • Assists with hiring, routinely completes performance reviews, provides discipline, daily supervision and training of assigned staff, including ongoing education. • Routinely apprises assigned staff of individual or group achievements, related to various assignments, to maintain or enhance productivity as measured against established standards of performance. FINANCIAL MANAGEMENT: • Provides input to develop and maintain annual expense budgets for the department. • Uses internal resources in a manner to routinely meet established annual and monthly expense budget(s) to ultimately achieve budget savings by year-end. • Makes expense budget recommendations supporting department operations. • Researches methods and external providers to evaluate and ensure special projects are routinely competitive and cost effective. • Recommends types of courier-vehicles to acquire meeting both delivery requirements and that achieve improved fuel savings and maintenance costs. PLANNING: • Prioritizes and reprioritizes staff assignments and activities to facilitate the timely delivery of records and information, a portion of which are needed on an emergency basis. • Participates in departmental goal setting process and communicates goals to staff. • Monitors staff productivity, ensuring optimal use of resources and makes appropriate changes in response to fluctuations in workload.

Requirements

  • HS Diploma or General Education Diploma (GED)
  • 5 years of recent relevant experience.
  • Thorough knowledge of record retention schedules, including records and information technology applications relevant to the operation of a records center.
  • Self-motivated and possess the ability to work independently; to plan and organize work; to perceive and analyze problems; to develop alternatives and make or recommend sound decisions; to supervise effectively; and coordinate the resources available.
  • Verbal and written communication and interpersonal skills.
  • Demonstrates commitment to providing exceptional customer service and responding to customer needs/requests in a prompt, courteous manner.
  • Ability to build and establish effective working partnership with employees, peers and/or leaders to achieve business objectives.
