The Practice Supervisor Operations is responsible for overseeing the daily administrative operations outpatient practice. This non-clinical role manages front office workflows, supervises administrative staff, supports scheduling and patient access functions, and ensures smooth coordination between departments. The supervisor plays a key role in driving efficiency, patient satisfaction, and compliance with regulatory standards while fostering a culture of service excellence.

Requirements

  • High school diploma or equivalent.
  • Seven years of medical office experience.
  • Minimum of one year of supervisory experience.
  • Knowledge of governmental, legal and regulatory provisions related to collection activities.

Responsibilities

  • Supervise administrative and front office staff, including schedulers, receptionists, and support personnel.
  • Oversee daily operations such as appointment scheduling, patient check-in/check-out.
  • Monitor staffing levels and manage schedules to ensure adequate coverage and workflow continuity.
  • Support and enforce policies related to patient access, registration accuracy, and data entry in the electronic health record (EHR) system.
  • Collaborate with clinical and administrative leadership to streamline operations and improve patient experience.
  • Address and resolve operational issues, patient complaints, and workflow disruptions in a timely and professional manner.
  • Assist with onboarding and training new administrative staff and provide ongoing coaching and support.
  • Track performance metrics.
  • Participate in the planning and implementation of quality improvement projects.
  • Ensure adherence to HIPAA, patient confidentiality protocols, and all organizational policies.
  • Coordinate with departments such as billing, IT, and facilities as needed to support operational goals.
  • Coordinate day-to-day clinic activities to ensure operational efficiency.
  • Manage clinic schedules, including appointments for infusion services, lab visits, and follow-ups.
  • Monitor patient flow and collaborate with medical staff to minimize wait times.
  • Maintain and order clinic supplies and ensure exam rooms are fully stocked and patient ready.
  • Act as a liaison between clinical staff, administrative teams, and external vendors.
  • Support onboarding new staff & providers.
  • Prepare and distribute daily and weekly clinic operation updates to the team.
  • Supervise front desk, reception, and registration staff.
  • Create and manage daily/weekly schedules to ensure adequate coverage.
  • Onboard and train new hires in front office procedures
  • Ensure clinic practices comply with HIPAA and oncology care standards.
  • Assist with documentation audits, regulatory compliance, and quality improvement initiatives.
  • Participate in incident reporting and operational reviews as needed.
