About The Position

The University of Pikeville is seeking applications for the position of Summer Housing Operations & Media Assistant. This work-study position supports the Division of Student Affairs during the summer term by providing administrative assistance, supporting housing operations, assisting with summer camps and conferences, and capturing visual/physical documentation of residential facilities for use on campus webpages and the housing portal. This role requires flexibility, attention to detail, professionalism, and the ability to balance administrative responsibilities with operational and visual support tasks.

Responsibilities

  • Provide clerical and administrative support to the Office of Residence Life, including filing, data entry, document preparation, and record organization.
  • Assist with maintaining housing-related records, reports, and internal tracking documents.
  • Answer phones, respond to emails, and greet visitors in a professional and customer-focused manner.
  • Assist with scheduling, calendar coordination, and preparation for meetings or housing-related initiatives.
  • Support daily office operations to ensure efficiency, organization, and consistency.
  • Assist with administrative tasks related to housing assignments, facilities documentation, and summer occupancy processes.
  • Support data organization and content updates for the housing portal and campus webpages.
  • Assist with room readiness documentation and operational tracking during summer housing periods.
  • Support hall preparation and coordination efforts as directed by professional staff.
  • Capture photographs of residential facilities, room types, common areas, and amenities for use on campus webpages, the housing portal, and informational materials.
  • Measure and document room dimensions, layout details, and key spatial features to ensure accurate representation of residential spaces.
  • Record and organize room measurement data for use in online housing descriptions, visual guides, and informational packets for incoming students.
  • Assist with creating clear visual and dimensional documentation that reflects current housing inventory and room configurations.
  • Organize, label, and upload digital images and measurement records to designated systems or shared drives.
  • Perform light photo editing and formatting as needed (cropping, resizing, file preparation).
  • Assist with housing-related preparation for summer camps and conferences.
  • Provide administrative and operational support during camp check-in and check-out periods as assigned.
  • Serve as a point of contact for basic housing-related questions from camp staff or participants, referring concerns to professional staff as appropriate
  • Support coordination efforts between Residence Life and campus partners during summer programs.
  • Demonstrate flexibility in supporting a variety of administrative, operational, media, and summer program needs.
  • Maintain professionalism, confidentiality, and appropriate workplace conduct at all times.
  • Adapt to changing priorities and assist with special projects as assigned.
  • Attend required training related to office procedures, technology, privacy expectations, and summer operations.
