Scope of Position: This is a Hybrid role for candidates located in the Lisle, IL Area. This position is for a Subcontract Coordinator who is under moderate supervision. Solves moderately complex problems and assists staff in gathering, verifying, and processing documentation. May contribute to recommending, developing, and implementing new processes and analyses.

Requirements

  • High School diploma or GED
  • Must have a valid Driver’s License
  • 2+ years’ of work experience in supporting operations/service teams
  • 2+ years’ of work experience in a major ERP system (SAP, MSD, Oracle)
  • 1+ years’ work experience in subcontracting

Nice To Haves

  • Bachelor’s degree preferably in business, accounting or finance.
  • HVAC industry experience.
  • 1+ years’ work experience in subcontracting
  • Knowledge in project forecasting or project budget analysis
  • Experience in customer invoicing, AR, and collections efforts
  • Requesting and understanding Certificates of Insurance

Responsibilities

  • Prepare, issue, and track subcontract agreements, change orders, and related documentation.
  • Maintain accurate subcontract files, ensuring all required documents (COIs, W-9s, lien waivers, safety forms) are current and compliant.
  • Review subcontract submissions for accuracy, completeness, and alignment with project requirements and ALC policies.
  • Submit and track vendor maintenance requests for new vendor setups and existing vendor updates.
  • Follow up with subcontractors on outstanding documents, safety records, insurance renewals, and payment inquiries.
  • Support communication with subcontractors and internal project teams to resolve issues promptly.
