About The Position

The Subcontract Administrator is responsible for the preparation, issuance, compliance monitoring, and closeout of subcontracts. This role ensures subcontract agreements align with prime contract requirements, union labor agreements, prevailing wage laws, and company risk management standards. The Subcontract Administrator works closely with Project Managers, Estimating, Accounting, Compliance, and field leadership to support successful project execution.

Requirements

  • 3 + years of subcontract administration or construction contract experience (union environment preferred)
  • Bachelor’s degree in construction management, Business, or related field preferred.
  • Excellent organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple projects simultaneously.
  • Ability to function well in a high-paced and at times stressful environment.
  • Understanding of construction contracts and subcontract flow-down requirements.
  • Thorough understanding of the company’s policies, procedures, systems, and objectives.
  • Knowledge of prevailing wage and public works requirements (California preferred, if applicable).
  • Familiarity with union agreements (IBEW) and project labor agreements (PLAs).
  • Proficient in using a computer and Microsoft Office (Outlook, Word, Excel, etc.)
  • Experience with construction accounting software (e.g., Sage 300 CRE, Procore, Textura, etc.).
  • Analytical and problem-solving skills with a proven ability to exercise initiative, judgment, and discretion.

Responsibilities

  • Prepare, review, and issue subcontracts and related exhibits.
  • Ensure subcontracts incorporate prime contract flow-down provisions.
  • Confirm compliance with union labor agreements (IBEW, PLA, etc.), prevailing wage, and public works requirements when applicable.
  • Review subcontractor scope to ensure alignment with project estimate and schedule.
  • Track executed agreements and maintain organized digital and physical contract files.
  • Review subcontractor insurance certificates for compliance with contract requirements.
  • Ensure bonding requirements (payment/performance bonds) are received when required.
  • Coordinate subcontractor prequalification and compliance documentation.
  • Monitor subcontractor licensing, DIR registration (if applicable), and safety documentation.
  • Support certified payroll and prevailing wage compliance tracking when required.
  • Track and process subcontract change orders.
  • Assist Project Managers with subcontractor payment applications and lien releases.
  • Ensure proper documentation prior to payment approval.
  • Maintain subcontract logs and cost tracking in company accounting system (e.g., Sage 300 CRE or similar).
  • Track closeout documents including warranties, O&M manuals, as-builts, and final lien releases.
  • Ensure subcontractor obligations are fulfilled prior to final payment.
  • Support audit requests and internal reporting.
