About The Position

The Student Services Specialist Senior position in Admissions, Records, and Registration serves as the primary technical expert for all graduation and completion processes. This position provides leadership and oversight for the evaluation and awarding of degrees and certificates, ensuring accuracy, compliance, and efficiency in accordance with institutional, district, and state requirements. The Specialist Senior manages graduation - including regular, proactive, and reverse transfer processes - maintains tracking systems and reports, and oversees diploma production and distribution. This role plays a key part in advancing student success by promoting timely completion and credential attainment, ensuring clear communication with students regarding graduation status, and providing excellent customer service. The Specialist Senior also supports department operations by assisting with service to students and faculty, projects, training staff, and identifying opportunities to improve processes and workflows through strong, analytical, technical, and data management skills.

Responsibilities

  • Serves as primary contact for students regarding graduation and ongoing support for student success; provides support for online chat, phones, emails, etc.; evaluates student records to determine eligibility for graduation based on institutional program-specific requirements; processes and tracks graduation applications and ensures the timely and accurate awarding of degrees and certificates
  • Technical expert for graduation evaluation; maintains internal spreadsheets, databases, and reports for organization and data tracking; uses Student Information System for a variety of tasks, including running degree progress reports, establishing graduation status, and awarding; oversees the diploma printing and mailing process, maintaining accountability for quality control and delivery standards, evaluates transcripts, and records them in the Student Information System
  • Supports the Admissions, Records, and Registration department by assisting with project deadlines and department goals, as well as providing a high level of customer service to students, faculty, and staff (via phone, chat, email, and in-person), including responding to issues and complaints; works collaboratively with other departments and serves on a variety of committees
  • Provides training and presentations on the graduation process as well as other Admissions, Records, and Registration policies and procedures. Delegates routine or project-based tasks as appropriate, and serves as a point of contact for technical guidance, and completes other duties as assigned
  • Evaluate and post college transcripts, credit by exam/evaluation (PLA), correcting degree audit issues, and troubleshooting related technical errors in the supporting software programs
