Position Purpose: The purpose of this position is to engage in student ministry and enhance the Concordia experience by providing administrative support and maintain the day-to-day functions for the Student Services Offices, specifically the Vice President for Student Affairs, Student Life, Housing, Student Activities, Health Center, and Campus Pastor. This position serves as the main point of contact for the department. This is a full-time position with full-time benefits. Must be 19 years or older to apply.

Requirements

  • High school diploma required; Bachelor's Degree preferred
  • Previous experience in higher education and/or administrative support is preferred.
  • Ability to work independently with a high degree of self-sufficiency.
  • High degree of organizational skills and ability to multi-task with multiple interruptions not impacting the quality of work.
  • Ability to adapt, improve, and overcome challenges which arise to ensure the department runs efficiently and effectively.
  • Strong written and verbal communication skills.
  • A basic understanding of inventory and expense procedures.
  • Coordination skills to work with a variety of audiences and types of individuals.
  • Proficiency in use of software applications including Microsoft applications, databases, spreadsheets and word processing. Experience with Banner software helpful.
  • Ability to understand and follow directions as given and work independently.
  • Ability to work effectively with a wide range of constituencies.
  • Strong verbal, organizational, and interpersonal skills.
  • Ability to interpret, adapt and apply guidelines and procedures.
  • Ability to maintain confidentiality of records and information.
  • Must demonstrate an active Christian faith life and an ability to relate to students of various Christian faiths.

Responsibilities

  • Actively work to advance Concordia's mission, vision, and strategic plan as a priority in daily work and long-term planning.
  • Provides administrative support to the Vice President for Student Affairs, Directors of Student Life, Campus Nurse, Campus Counselor, and Campus Pastor.
  • Serves as the main point of contact for the department, handling all incoming and outgoing communication with students, parents, staff, and people outside of the university. Provides receptionist duties for the Student Life Office and Health Center.
  • Completes all departmental reports and forms as requested and attends all team meetings and devotions.
  • Provides individual assistance to students by scheduling appointments, assisting with lost/found, dorm lockouts, special deliveries, and general questions, while maintaining a relational ministry approach.
  • Assist with the annual LAUNCH planning and events.
  • Assists staff of the Student Life department for hiring, training, supporting, and workload oversight of Student Workers.
  • Assists with resident hall staff selection processes.
  • Along with the building managers and maintenance staff, reports maintenance issues with residence hall equipment, issues refund to students, creates work orders, and works closely with vendors on repairs.
  • Assist with housing needs such a loaning keys to students, room key inventory, and end-of-year checkouts.
  • Reconcile Banner and Blackboard meal plans to ensure that fees/charges are accurate for the correct meal plans to ensure the University and the students are aligned.
  • Maintain a listing of available rentals for off-campus housing and assist with the rental process.
  • Schedules meetings, appointments, events, and activities for the Department; along with other student-related activities.
  • Maintains departmental forms, procedures, and confidential records. Preserves the confidentiality of the office with specific regard to FERPA and HIPAA regulations.
  • Collects and manages student FERPA forms for the campus community.
  • Assists the Vice President for Student Affairs and General Legal Counsel with annual, federal Clery reporting.
  • Responsible for the creation of identification badges for students, staff, and faculty.
  • Assists with entering housing and meal records (on and off campus) in Banner. Updates Banner, Blackboard, and various records throughout the year as changes in housing occur due to room changes, meal plan changes, attritions, etc.
  • Assists with entering demographic changes (address/telephone/marital status, etc.) in Banner for registered students.
  • Sends communications to specific Professors, Provost, Athletics, and VP for Student Affairs when a student attritions mid-term; also reports student absences regarding illness/injury/personal reasons.
  • Creates and proofreads all letters, mass communications, and postings generated in the Student Life Office and Health Center.
  • Assists with summer mailing to new students.
  • Maintains inventory of supplies for the Student Life Office, game room, and worship supplies.
  • Provides purchasing data to Business Office for corporate card and supply purchases.
  • Other duties as assigned.
