About The Position

The Stewardship Officer reports to the Associate Director of Stewardship. This position will assist the Associate Director of Stewardship with the development and execution of a comprehensive stewardship program designed to ensure a seamless and effective donor relations/stewardship program, including but not limited to acknowledgment, engagement, and communications to steward, cultivate, and upgrade donors. The Stewardship Officer supports the Division of Institutional Advancement’s internal systems, structures, and processes that enable the development team to meet and exceed the budget and operational goals and maintain the highest donor satisfaction and overall growth standards. The role involves crafting correspondence for major and capital gift donors, implementing the advancement stewardship plan, designing personalized donor communications, and collaborating on donor events. It also includes managing the annual Donor Roll and the True Blue Consistent Donor program, ensuring adherence to the stewardship schedule, and establishing recordkeeping for fundraising projects. Additionally, the Stewardship Officer provides excellent customer service to donors and supports departmental operations by tracking expenses, managing calendars, auditing supplies, and processing financial documents. The officer also represents the IA team at various college events.

Requirements

  • Bachelor’s degree
  • Minimum of two years of related and progressive work experience
  • Ability to bring creative ideas to the donor relations/stewardship programs
  • Strong customer service focus
  • Excellent written, verbal and time management skills
  • Professional demeanor with the ability to interface with internal and external donors and potential donors with diplomacy and tact
  • Independent judgment is necessary to plan, prioritize and organize a diversified workload with attention to detail
  • Work requires fact-finding and compilation skills plus ability to multi-task
  • Excellent oral communication skills are required when presenting information and responding to questions from donors, potential donors, and the general public in one-on-one or group situations
  • Ability to write business correspondence plus compose memos, letters, and e-mails
  • Ability to read, analyze, and interpret documents such as professional journals, financial reports, and grant proposals
  • High level of mastery using Microsoft Office Suite (Word, Excel, and PowerPoint)
  • Experience with Outlook, Banner Financial Module and Internet navigation

Responsibilities

  • Assist the Associate Director of Stewardship with the development and execution of a comprehensive stewardship program designed to ensure a seamless and effective donor relations/stewardship program, including but not limited to acknowledgment, engagement, and communications to steward, cultivate, and upgrade donors.
  • Support the Division of Institutional Advancement’s internal systems, structures, and processes that enable the development team to meet and exceed the budget and operational goals and maintain the highest donor satisfaction and overall growth standards.
  • Work closely with the Director of Advancement Communications & Stewardship, and the Associate Director of Stewardship to craft correspondence for major and capital gift donors, including acknowledgments and other stewardship communications to individuals, corporations, foundations and other organizations.
  • Work closely with the Associate Director of Stewardship in implementation of the division’s advancement stewardship plan, including department workflow, coordination, and prioritization of timelines; track deadlines for projects including print production and email distribution.
  • Design personalized correspondence (letters, reports, etc.) to communicate with and inform donors on the impact of their gifts a scheduled as well as ad hoc basis.
  • Work closely and directly with the Assistant Director of Scholarship Management and Reporting and the IA Events team on initiatives to ensure that events for donors and prospects (including, but not limited to, scholarship donors and prospects) – including the Scholarship Luncheon, the Donor Appreciation Reception, and other stewardship initiatives and recognition events are planned, prepared and executed efficiently for participants (set-up, check-in materials, name tags, etc.).
  • Manage the production of the annual Donor Roll in collaboration with Advancement Services.
  • Manage True Blue Consistent Donor program and develops stewardship plans that attract additional high-level donors under leadership of Associate Director of Stewardship.
  • Ensure adherence to IA stewardship schedule and assists the Director of Advancement Communications & Stewardship and Associate Director of Stewardship in the planning and execution of the yearly stewardship plan for the Division.
  • Establish and implement recordkeeping to document and evaluate the impact of the various fundraising projects and initiatives and assists in the development of donor communications (in the form of impact reports, scheduled monthly/quarterly/annual communication, etc.).
  • Work collaboratively as appropriate with the IA Events Staff and other divisional/campus partners to leverage existing college events as stewardship opportunities for college donors.
  • Provide excellent customer service addressing donor and potential donor questions, requests, and concerns related to gift acknowledgements.
  • Track department expense budget including project budget for design and production of stewardship communication, stewardship events and other major activities.
  • Manage the calendar and scheduling of the Director of Advancement Communications & Stewardship and the Associate Director of Stewardship (as needed) and assist in managing the overall stewardship calendar.
  • Conduct routine audits of department’s collateral supplies to ensure enough on hand (note cards, envelopes, letterhead, etc.) and place timely supply orders.
  • Submit requisitions, invoices, travel expense reports, tech requests and receipts to business office and follow up as needed to ensure that they are processed in a timely manner.
  • Support and represent IA team as appropriate in Reunion, Homecoming, Founders Day, Christmas Carol Concert Reception, Commencement, and other events as needed.
  • Perform other duties as assigned by the supervisor to support departmental goals and priorities.
