About The Position

Hermitage Hall (a UHS company) is one of Middle Tennessee's largest stand-alone psychiatric residential treatment hospitals. Licensed by Tennessee Department of Mental Health and Substance Abuse Services as a mental health residential treatment center for children and youth, Hermitage Hall has provided services to families for over 30 years. Located southwest of downtown Nashville, off I-65 at the Wedgewood exit, away from the congestion of downtown Nashville, our team of over 130 high quality employees describe working here as family oriented, therapeutic, value clarifying. The Staffing Coordinator generates, manages, and updates master schedules for the residential department. Adjusting as needed, according to budget constraints, census fluctuations, call outs, and pre-planned leaves of absence. Provides administrative assistance to the Residential Director & Director of Operations for staff development and other departmental needs. Work closely with the director of Operations, Residential Director, and Assistant Residential Director in coordinating an effective, efficient scheduling pattern. Establishes and maintains a professional relationship with the administrative, residential and clinical staff.

Requirements

  • High school diploma (or equivalency)
  • Must be at least 21 years of age
  • Must be able to complete a mandatory, two-week new hire orientation (M-F)
  • This role requires a full background check including fingerprint, drug screen, and employment verification
  • One to three years experiences required, three to five years preferred.

Responsibilities

  • Manage daily residential staffing using UKG to update and maintain the master schedule.
  • Process call-ins and absences promptly to ensure adequate coverage.
  • Review and approve PTO and ELB requests, ensuring proper coverage for employees on leave.
  • Prepare and maintain daily staffing reports, including verification of work hours, time-off requests, and job vacancies.
  • Counsel employees on scheduling procedures and time-off requests in UKG.
  • Maintain staff training records and compliance documentation.
  • Ensure accurate payroll processing and address staffing concerns.
  • Prepare daily FTE staffing reports.
  • Review timesheets daily and make corrections as needed for payroll accuracy.
  • Assist on units if acuity level is high.
  • Assist with emergency Codes as necessary.
  • Other duties as assigned.
