About The Position

The SSVF Training & Technical Assistance (T&TA) Coordinator is responsible for organizing, coordinating, and supporting training and technical assistance efforts for the Supportive Services for Veteran Families (SSVF) program, serving CAPO’s SSVF subrecipients across Oregon. This role serves as a key support to help ensure subrecipient staff understand program requirements, maintain compliant documentation, and confidentially deliver services to veterans. The SSVF T&TA Coordinator works closely with the SSVF Program Manager to identify training needs, support the development and delivery of training materials, and provide ongoing guidance through a combination of virtual and in-person support. This position plays a central role in reinforcing consistent practices across subrecipients, supporting compliance with VA SSVF requirements, and strengthening overall program implementation.

Requirements

  • 2+ years of experience in human services, housing programs, grant-funded programs, or related field
  • Experience coordinating training, program onboarding, or staff support
  • Strong facilitation and communication skills; including written, verbal, and active listening
  • Ability to interpret program requirements and provide clear, practical guidance
  • Ability to work both independently and collaboratively while coordinating across partners and shifting priorities
  • Strong organizational skills with the ability to follow established processes, maintain accurate documentation, and follow through on multiple tasks and deadlines
  • Ability to problem-solve, apply sound judgment, and adapt to evolving program requirements
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • Proficiency with Microsoft Office (e.g., Word, Excel, Outlook, Teams)
  • Valid driver’s license and auto liability insurance; ability to travel by air for required training

Nice To Haves

  • Experience with Veteran support services or housing stability programs (e.g., rapid rehousing)
  • Familiarity with the VA SSVF Program Guide, regulations, and compliance requirements
  • Basic understanding of SSVF or similar federally funded housing programs
  • Experience using and/or supporting learning management systems (LMS); Canvas preferred
  • Familiarity with HMIS or similar data systems
  • Experience developing training materials or supporting virtual learning environments
  • Familiarity with basic marketing and outreach materials to support program awareness

Responsibilities

  • Provide and coordinate ongoing training and technical assistance to SSVF subrecipients through email, virtual platforms, and in-person site visits, including onboarding, SSVF compliance and regulatory trainings, and FOFA response support for internal and external stakeholders
  • Coordinate and support onboarding new program staff, including training on SSVF compliance, CAPO procedures, and relevant platforms (e.g., DocMgt, LMS, Basecamp), in alignment with program requirements and governing documents.
  • Guide, and support subrecipient staff in implementing program requirements, documentation standards, and basic fiscal processes related to client
  • Develop, maintain, and regularly update training materials, guides, templates, internal forms, and reference tools to ensure alignment with VA initiatives and CAPO program needs
  • Respond to subrecipient questions and provide clear, timely, and practical guidance to support consistent program implementation
  • Identify recurring training needs and coordinate group training or targeted follow-up sessions, in collaboration with the SSVF Program Manager
  • Support program monitoring activities by assisting with document review, preparation, delivery of follow-up training and/or technical assistance, as needed
  • Develop and maintain training resources that are accessible, engaging, and compliant, in collaboration with relevant internal staff members
  • Support subrecipient staff in accessing and navigating training systems and tools, including DocMgt, LMS platforms (e.g., Canvas), and webinar-based training environments
  • Build and maintain strong working relationships with SSVF subrecipient staff to support effective program implementation
  • Provide general guidance to support organization, workflow consistency, and alignment with program expectations and requirements
  • Support follow-up on missing documentation, required corrections, and compliance-related items through program monitoring activities, in coordination with subrecipients
  • Reinforce consistent processes, expectations, and documentation standards across SSVF program and subrecipient staff
  • Track recurring questions, challenges, and trends to support maintenance and updating of training materials and program guides, ensuring accuracy and accessibility
  • Coordinate and support training, meetings, and ongoing communications with subrecipients
  • Track training participation, learner progress, and completion rates using LMS platform and/or internal tracking tools (e.g., Excel-based trackers), including training outcomes
  • Navigate use of various software programs and data systems (e.g., DocMgt, ServicePoint/HMIS, Basecamp, SharePoint, Canva, LMS Platforms) to assist with program implementation and training support
  • Perform additional duties, as needed to support program operations and ensure alignment with grant and compliance requirements
  • Develop program-specific outreach and communication materials, including brochures, flyers, training resources, and informational content, in collaboration with the SSVF Program Manager and relevant CAPO staff
  • Train and guide subrecipients during outreach efforts and events focused on serving Veterans experiencing homelessness or at risk of housing instability.
  • Support community partner meetings by sharing general program information and guiding partners on appropriate Veteran referral processes
  • Develop clear, visually engaging materials to support training, outreach, and program communication
  • Maintain and update webpage and digital content to ensure accuracy, accessibility, and alignment with program requirements
  • Format and prepare materials for both digital and print use to support consistent and professional communication
  • Coordinate and assist with FOFA response training event logistics, content development, and subrecipient participation, in collaboration with CAPO staff and Program leadership
