With our passion, creativity, and innovation, “We capture what moves”. We are looking to add an experienced Senior Sales Project Coordinator to our team at our Parsippany, NJ Creative Center! Our Senior Sales Project Coordinator plays a central role in managing the administrative and operational activities that support the sales organization. This position oversees the full lifecycle of project briefs, ensures seamless coordination across departments, and serves as a key liaison between clients, sales teams, and internal stakeholders. The senior-level coordinator demonstrates deep expertise in managing multiple concurrent projects with accuracy, efficiency, and strong organizational discipline.

Requirements

  • Bachelor’s degree preferred.
  • Minimum of 5 plus years of administrative and project management experience in the Fragrance Industry.
  • Strong analytical, organizational, and communication skills required.

Responsibilities

  • Serve as a primary point of contact for routine client inquiries, providing timely information and support.
  • Receive and track sample requests, monitor progress, and keep sales managers informed of status updates.
  • Manage the operational flow of all sales projects, including tracking deadlines, coordinating pricing submissions, reviewing documentation, and resolving issues.
  • Act as the central hub for project information, ensuring clear communication among all departments involved in the development process.
  • Work directly with client contacts to coordinate sample needs, stability testing, safety documentation, shipping requirements, and project timelines.
  • Maintain accurate and timely data entry into GPMS, including FDRs, FSRs, and information requests.
  • Support the Manager of Sales Administration & Pricing, including assisting with the preparation of strategic pricing documents that balance profitability and business growth.
  • Conduct research and prepare reports, spreadsheets, and analytical summaries as needed.
  • Collaborate closely with Creation, Development, Technical, Marketing, and Sales teams to ensure all client requirements are met and resources are aligned.
  • Communicate project changes to relevant departments, including QC, Regulatory, and Logistics, ensuring alignment and timely action.
  • Issue daily project priority lists and ensure all processed samples are correctly labeled.
  • Serve as a subject matter expert for systems, customer processes, or project-related workflows.
  • Assist in training and onboarding new Sales Project Coordinators.
  • Complete special assignments and projects to support company objectives.
  • Uphold MANE’s values, quality standards, ISO procedures, and environmental commitments through active participation in training and adherence to best practices.
  • Collaborate regularly with salespeople, customers, vendors, and internal departments.
