Job SummaryThe Payroll Tax Specialist handles all payroll tax-related functions of Optimum. This position will handle payroll tax questions and research, as well as complete any other tasks necessary for monitoring and overseeing the company's payroll tax process.

Requirements

  • 5+ years Payroll tax background in a multi-state environment, knowledge of regulatory compliance, reciprocity, and local tax rules (specifically Pennsylvania local taxes)
  • Strong computer skills and the ability to maintain highest level of confidentiality
  • Proficient in Microsoft Office
  • Standard business skills, team player, vision, and fact-finding ability required
  • Possess excellent communication and customer service skills
  • Must have the ability to react in a timely manner to tax issues. Ability to prioritize workload while meeting deadlines
  • Self-Starter and takes ownership of Payroll Tax Process

Nice To Haves

  • ECP and ADP experience preferred
  • Bachelor’s Degree preferred, not required

Responsibilities

  • Oversee vendor in the submission of federal, state, and local tax filings on a biweekly, monthly, quarterly, and annual basis to ADP
  • Performs biweekly, quarterly and annual tax reconciliation of payroll following documented SOX processes. Ensures quarterly tax returns and W2 filings have been filed correctly by ADP and that all filings are complete and accurate
  • Prepare W-2 corrections as needed after the reconciliation of all state/local/federal agency returns are filed, and ensure any necessary amendments are filed in a timely manner
  • Maintain up-to-date state unemployment rates in the SAP system, as well as outsourced vendor system (ADP Smart Compliance)
  • Communicate with various levels of management and taxing authorities on a regular basis regarding tax-related information and associated research
  • Files state/local applications for registration in new jurisdictions for new or existing businesses. Maintains data base of all company IDs. Maintain company name and address changes for existing companies when notified by the Tax Department
  • Participates in special projects and performs other duties as assigned
  • Coordinates and oversees payroll tax audits conducted internally or by taxing authorities. Provides all reports, tax filings and other general information as requested by the auditors. Works with ADP to request reports as necessary. Provide additional information as required by auditors
  • Document standard tax setups for state and local tax agencies
  • Forward all tax notices and letters to ADP as required
  • Performs all research and processes corrections along with Payroll Leadership
  • Testing and confirmation of payroll system Tax Updates and Patches
  • Stays abreast of new tax laws and trends
