Job Summary Under the general direction of the Administrative Services Manager (ASM), this position assists the ASM in managing the fiscal and personnel operations within the College of Natural Sciences & Mathematics (CNSM). The position is responsible to ensure University and system-wide policies and procedures are followed for all CNSM funds including all state, research foundation, and external funding.

Requirements

  • Ability to establish and maintain professional working relationships with faculty, staff, students, and vendors.
  • Excellent working knowledge of office methods, procedures, and practices.
  • Ability to interpret university and system-wide policies and procedures.
  • Excellent skills in analyzing financial data.
  • Strong ability to perform complex tasks involving independent judgment, accuracy, and speed.
  • Excellent skills and knowledge of Windows, Word, e-mail, spreadsheet, and databases.
  • Ability to communicate with an ethnically and culturally diverse campus community.
  • Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.
  • Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."
  • Equivalent to a bachelor's degree in a related field and three years of related experience required.

Responsibilities

  • Monitor budgets and expenditures for all funds.
  • Maintain the integrity of financial records.
  • Assist ASM in budget planning and financial assessments.
  • Examine procurement, travel, and payment request documents to ensure policies and procedures are followed.
  • Compile faculty assigned time reports in preparation for lecturer contracts and update and maintain lecture entitlement records.
  • Assist with HR operations.
  • Oversee graduate assistant, teaching associate, student assistant, federal work-study student, and instructional student assistant hiring process with department offices.
