We are searching for an experienced Executive Assistant who is high energy and thrives in a constantly evolving business environment. In this role, you will partner with other executive assistants and interact with various levels of management, vendors and employees, assisting Human Resources Corporate Vice Presidents manage day to day priorities. The environment is fast paced, dynamic, and collaborative. The ideal candidate will have significant experience navigating a complex tech environment and be comfortable interacting with employees of all levels. To be successful, you will need strong organizational and multi-tasking skills, maintain a high level of confidentiality and the ability to gather information and make decisions independently. Being proactive and anticipating the needs of the executive is essential as you prioritize time, schedules, inquiries and information.

Requirements

  • Proven experience of executive administrative support at a senior level.
  • Strong organizational and communication skills; ability to work independently as well as part of a team.
  • Ability to use a variety of sophisticated office automation tools and software, including proficiency in PowerPoint, Excel, Word, SharePoint, SAP.
  • Ability to collaborate with different levels of management, customers, and employees to exchange information and take appropriate action.
  • Proven ability to prioritize and manage complex tasks and meet deadlines in a fast-paced environment.
  • Strong multi-tasking skills.
  • Demonstrated ability to exercise judgment, take initiative and adapt to changing priorities with a high degree of flexibility and responsiveness.

Nice To Haves

  • High School Graduate or Associates Degree with additional Admin Certifications a plus

Responsibilities

  • Calendar Management: Own and manage executives’ calendars, prioritizing appointments as necessary and scheduling meetings to optimize time and productivity.
  • Coordinate offsite meetings, team building activities as needed.
  • Arrange domestic and international travel schedule, logistics and reservations; Prepare expense reports and ensure submission in a timely fashion.
  • Interface with members of the management team, vendors, and other executive visitors; Redirect inquiries and problems to staff members for response and resolution as necessary.
  • Exercise judgment and initiative with high degree of flexibility and confidentiality.
  • Obtain, assemble and analyze information and data from a wide variety of sources in order to prepare reports, agendas and correspondence.
  • Order and maintain inventory of departmental supplies; Coordinate necessary equipment or facilities repairs or changes.
  • Support the department’s financial processes, including budgets, contracts, purchase orders, payments, vendor relations, etc.
  • Assist with new hire onboarding support within the Vice President's teams.
