About The Position

We are seeking a highly capable Senior Executive Assistant who will operate as a strategic partner to CEO. This role combines executive support, project coordination, and elements of Chief of Staff–style partnership — but is not a full CoS position. The ideal candidate thrives in a fast-moving environment, anticipates needs, and ensures CEO stays aligned to top priorities across meetings, travel, and projects. This is a high-visibility role interacting with senior leaders, customers, and cross‑functional teams. The right person will bring a calm, solutions-oriented mindset and the ability to manage complex tasks independently.

Requirements

  • 7+ years supporting C‑suite or senior executives in a high-growth, fast-paced environment.
  • Proven experience managing complex calendars and travel for senior leaders.
  • Ability to “run point” on projects with minimal oversight.
  • Strong organizational judgment and ability to anticipate needs several steps ahead.
  • Exceptional written and verbal communication skills.
  • Comfortable interacting with Executive Leadership Teams and board-level stakeholders.
  • High EQ, professionalism, and discretion.
  • Flexible and able to adapt to shifting priorities in real time.

Responsibilities

  • Serve as a trusted partner to CEO, acting with sound judgment, confidentiality, and executive presence.
  • Proactively organize and manage a complex, dynamic calendar with shifting priorities.
  • Ensure CEO is prepared for all meetings, including agendas, briefs, and action summaries.
  • Run point on assigned projects, driving alignment, follow‑through, and timely decisions.
  • Track action items, deadlines, and deliverables across multiple teams and stakeholders.
  • Anticipate needs and remove operational blockers before they arise.
  • Coordinate agenda development and finalization.
  • Prepare pre-read materials and ensure all inputs are collected and organized.
  • Work with ELT members to confirm decisions, action items, and accountability.
  • Circulate outcomes and follow‑up tasks back to CEO.
  • Manage logistics, timing, and supporting materials for board meetings.
  • Provide “what are the options?” recommendations (e.g., earlier flights, alternative schedules, etc.).
  • Ensure CEO has everything needed to maximize time and productivity.
  • Coordinate all aspects of domestic and occasional international travel.
  • Build itineraries that consider personal travel, business constraints, and last‑minute changes.
  • Anticipate better routing or timing options (e.g., identifying a same‑day flight when a meeting ends early).
  • Manage proactive adjustments (e.g., rerouting from AZ → Nashville without unnecessary stops).
  • Serve as the liaison between CEO and internal/external partners.
  • Draft and edit communications, meeting notes, and follow-ups as needed.
  • Represent CEO’s priorities professionally and tactfully.
  • Maintain confidentiality and handle sensitive information with care.
  • Develop and refine organizational systems that improve efficiency.
  • Build repeatable workflows for meetings, travel, and recurring business rhythms.
