Job Description The role is responsible for providing comprehensive budget, administrative, and integration support to the Exploration Systems Development Mission Directorate (ESDMD) and the Exploration Business Office (EBO). This position supports budget formulation, justification, execution, workforce planning, and executive-level correspondence while ensuring efficient coordination across programs, centers, and external stakeholders.

Responsibilities

  • Participate in and support the development, formulation, and justification of the ESDMD budget.
  • Plan, schedule, and coordinate activities and processes that support key budget events, including project and program reviews.
  • Contribute to the review, revision, and documentation of budget formulation and justification processes, tools, and workflows.
  • Support updates and improvements to budget execution processes and monthly assessments.
  • Perform financial transactions in agency systems, including SAP and the ESDMD FOCUS tool.
  • Prepare financial reconciliation reporting and maintain execution data in Power BI.
  • Conduct additional execution-related activities such as credit card reconciliation and report generation.
  • Develop presentations, charts, graphs, correspondence, spreadsheets, and similar documents supporting budget and programmatic activities.
  • Independently perform administrative management and analytical tasks to meet organizational needs.
  • Ensure appropriate handling of sensitive communications and matters.
  • Review and evaluate program-related reports, documentation, and analyses that directly impact ESDMD operations.
  • Provide correspondence control and executive-level support to ESDMD senior management.
  • Prepare executive correspondence and recommendations on programmatic and agency-wide issues.
  • Review correspondence for completeness, accuracy, format, and consistency with agency standards.
  • Ensure background materials and logistical preparations are completed for leadership meetings.
  • Serve as a primary integration and administrative support resource for ESDMD/EBO.
  • Plan, schedule, and coordinate activities related to key events and program reviews.
  • Assist in reviewing, updating, and documenting budget formulation and justification tools and processes.
  • Support scheduling and coordination of high-level briefings with Mission Directorate programs and centers.
  • Provide quality assurance and final packaging of documents and presentations for external organizations, including the Office of the Chief Financial Officer (OCFO), Office of Management and Budget (OMB), and Congress.
  • Support EBO workforce planning efforts by gathering, integrating, and evaluating civil service workforce requirements against resource constraints (center ceilings, skill mix limits, etc.).
  • Assess contractor workforce numbers and trends.
  • Recommend strategies, ceilings, and process adjustments related to workforce planning.
