About The Position

As a Shared Services Senior Administrative Support Representative, you will provide advanced administrative and operational support to leaders, teams, and departments. This role requires strong organizational skills, the ability to manage multiple priorities, and sound judgment in handling confidential and time-sensitive information. The Senior Administrative Assistant acts as a key point of coordination, ensuring smooth operations, supporting executive-level workflows, and contributing to process improvements.

Requirements

  • 3–5 years of administrative support experience, ideally supporting leaders or managing complex administrative functions.
  • High School Diploma or equivalent, Associates Degree Preferred but not required.
  • Proficient in internal controls testing and documentation. Excellent attention to detail and focus on quality.
  • Ability to effectively collect, analyze, and present information to senior management. Ability to clearly and effectively communicate verbally and in writing. Excellent attention to detail and focus on quality.
  • Ability to apply common sense understanding to carry out instructions in both written form and received through verbal communications.
  • Strong interpersonal, planning, organizational, time management and problem-solving skills.
  • Goal driven, self-starter with the ability to work independently.
  • Intermediate Microsoft Excel skills. Proficient in Microsoft Office products and experience with Microsoft Dynamics 365 and Great Plains preferred.

Responsibilities

  • Manage complex calendars, schedule meetings, coordinate logistics, and resolve scheduling conflicts.
  • Prepare leaders for key meetings by organizing agendas, collecting materials, and summarizing relevant information.
  • Serve as a primary point of contact for internal and external stakeholders.
  • Draft, proofread, and edit correspondence, reports, and presentations.
  • Screen and prioritize incoming communications (emails, phone calls, messages) and respond on behalf of leaders when appropriate.
  • Coordinate travel arrangements, itineraries, and expense reports.
  • Maintain and organize records, databases, and document systems with a high degree of accuracy.
  • Assist with budget tracking, purchase orders, and invoice processing.
  • Manage office workflows, supplies, and vendor relationships.
  • Support or lead administrative components of departmental projects and initiatives.
  • Identify opportunities to streamline administrative processes and recommend improvements.
  • Help organize team meetings, events, workshops, and onsite/offsite activities.
  • Handle confidential information with discretion, sensitivity, and professionalism.
  • Maintain a high level of trust and credibility in interactions with employees at all levels.
