The Sr. Administrative Assistant will provide high-level administrative support to the executive team, with a strong focus on financial and operational management. This role requires exceptional organizational skills, a proactive approach, and advanced proficiency in data management, and maintaining a rigorous risk and safety culture. The Sr. Administrative Assistant will also be responsible for organizing, preparing, and leading key operational meetings.

Requirements

  • Mandatory proficiency in Microsoft Excel.
  • Exceptional attention to detail.
  • Proven ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • Leadership skills to effectively guide operational discussions.

Responsibilities

  • Manage and maintain complex spreadsheets and financial models using advanced Microsoft Excel functions (e.g., pivot tables, VLOOKUP, conditional formatting) to track budgets, operational metrics, and performance indicators.
  • Reconcile and prepare payroll data for invoicing.
  • Organize, schedule, and prepare materials (agendas, reports, presentations) for weekly and monthly operational meetings.
  • Assist with operational meetings, driving the agenda, documenting key decisions, assigning action items, and ensuring timely follow-up.
  • Synthesize complex information from various departments into clear, concise summaries for executive review.
  • Assist Risk and Safety programs.
  • Maintain and organize all safety documentation, training records, and compliance files.
  • Assist in coordinating internal and external safety audits and inspections.
  • Monitor policy adherence and proactively identify and escalate potential operational risks to the executive team.
  • Manage complex calendars, including scheduling meetings, appointments, and travel arrangements.
  • Assist with correspondence, reports, and presentations.
  • Handle confidential information with the utmost discretion.
