About The Position

This challenging Administrative Assistant position provides comprehensive administrative support to a team of attorneys and paralegals in the Office of the General Counsel (OGC). The role requires coordinating multiple matters simultaneously and supporting the efficient operation of the department. The successful candidate must be able to effectively manage competing priorities and interact professionally with individuals at all levels of the organization, as well as with external parties. The ideal candidate will have excellent organizational skills and exceptional attention to detail; strong verbal and written communication skills; the flexibility and agility to adapt as priorities change; the ability to work effectively and collaboratively with other administrative assistants; and a demonstrated ability to handle highly confidential information with discretion and sound judgment.

Requirements

  • High proficiency in Microsoft Outlook, Word, PowerPoint, and Excel.
  • Experience with legal matter management and e‑billing systems (e.g., TyMetrix 360), or the ability to quickly learn such systems.
  • Experience working within document‑management systems (e.g., iManage) and shared‑drive environments.
  • Comfort with collaboration, workflow, and automation tools, and a willingness to adopt new technologies in compliance with company policies.

Responsibilities

  • Manage calendars and daily priorities for attorneys and assist with the day-to-day operations of their respective areas.
  • Provide comprehensive administrative support in a timely and professional manner, including drafting, reviewing, and revising memos, letters, presentations, and reports.
  • Coordinate and support heavy meeting scheduling and logistics, including conference rooms, virtual meetings, and phone coverage.
  • Assist with filing and organization of materials, both electronic and paper, in accordance with departmental standards.
  • Prioritize and manage phone, mail, and email communications; respond to requests on behalf of managers; track and follow up on deliverables; and maintain physical and electronic files.
  • Arrange domestic and international travel and prepare and submit related expense reports.
  • Order, maintain, and manage office supplies.
  • Receive, process, and route mail and deliveries to appropriate recipients.
  • Assist with processing other expense items, as needed.
  • Demonstrated proficiency with, or strong interest in learning, emerging AI‑enabled tools and technologies to enhance administrative efficiency and support departmental operations.
  • Work collaboratively with other administrative assistants to ensure seamless departmental support and coverage.
  • Perform other administrative duties as assigned.
