About The Position

The Sports Coordinator will assist the Program & Recreation Director with the development of programming and daily operations of the Athletics Department. This person will effectively manage and supervise all gym personnel. Responsible for organizing, managing, and promoting sports and athletic programs. Collaborates with coaches, athletes, volunteers, and external partners to ensure smooth operations, compliance, and positive experiences.

Requirements

  • Bachelor’s Degree in Recreation or Sports Management, Physical Education, or related field preferred.
  • Minimum of two years’ experience in Recreation/Sports Management, athletic administration or related experience or certification
  • Minimum one year experience running leagues and tournaments
  • Have a valid Illinois Drivers’ License and insured transportation and be able to meet The Salvation Army’s requirements
  • CPR, Concussion Training, First Aid, and AED required within 30 days of HIRE.
  • Must Be Safe from Harm certified within 30 days of HIRE.
  • Strong organizational, leadership, and communication skills
  • Proficient in budgeting and basic financial oversight
  • Knowledgeable in sports rules, regulations, and safety protocols
  • Ability to use scheduling and sports management software; proficient in MS Office
  • An understanding of children’s educational and recreational needs, and appropriate positive discipline methods.
  • An understanding of how to supervise staff and participants of varying education levels and diverse cultural backgrounds.
  • The demonstrated ability to speak before large and small groups with poise and enthusiasm. Must be able to effectively communicate in English.
  • The ability to work with children, parents, and staff in a capacity of leadership, counseling, and education.

Responsibilities

  • Assist the Program & Recreation Director in the day-to-day operations of sports programs and facilities. (Lead level when Managers are not scheduled)
  • Assist in the development of programming and monitor all programs relevant to the athletic areas.
  • Plan, schedule, and coordinate athletic events, leagues, tournaments, and practices. Manage registrations, event logistics, and resource allocation
  • Maintain an office support system that will allow for timely and accurate record keeping as directed, including the areas of statistical reports, record of volunteer activity, accounting of expenditures and other reporting as required.
  • Follow and ensure adherence to The Salvation Army Policies and Procedures.
  • Recruit, train, supervise, and evaluate coaches, referees, volunteers, and part‑time staff.
  • Maintain the Code of Ethics policy, which has been established for the Kroc Center.
  • Work with marketing staff to promote program materials that attract new members and revenue.  This includes opportunities for fund raisers or sponsorships.
  • Assist Program & Recreation Director with ensuring that Kroc Standards are maintained.
  • Assist in organizing and supervising special events.
  • Assist with the formation and administration of youth and adult leagues and tournaments. Serve as point person for major in-house leagues.
  • Instruct classes/clinics in the absence of instructor or as needed or assigned.
  • Ensure that all indoor and outdoor sports equipment is maintained and inventoried on a regular basis.
  • Handle disputes with participants, coaches and parents in a professional manner
  • Act as liaison among coaches, athletes, parents, school officials, and external partners.
  • Promote events and manage public relations.
  • Coordinate with the Events department for rental or outdoor fields and the gymnasium.
  • Assist in the development of cooperative ventures that engage other community groups in the development of programs related specifically to the Athletics Department of the RJKCCC.
  • Assist the Program & Recreation Director to supervise athletic staff and volunteers. In the absence of the Program & Recreation Director serve as the key contact.
  • Assist the Program & Recreation Director in establishing working objectives for volunteers, work with volunteer coordinator on the scheduling and specific duties for volunteers.
  • Maintain clear channels of communication with staff, volunteers, and program participants. This will include writing of internal memos, weekly department meetings, work schedules, flyers, newsletters, and one on one discussion.
  • Ensure that all staff and volunteers are trained in Safe from Harm and proper guidelines are followed.
  • Attend all scheduled department meetings and other management meetings as assigned.
  • Ensure that bulletin boards reflect appropriate information and are kept current
  • Maintain an accurate calendar of events.
  • Ensure customer service standards are met; provide customer assistance, responding to inquiries and complaints.
  • Schedule and supervise facility usage, equipment inventory, and maintenance.
  • Maintain a safe working environment.
  • Ensure that staff is trained and up to date on program related safety procedures, First Aid and CPR.
  • Report all harmful problems with facilities to the Maintenance Manager.
  • Implement safety measures for group exercise classes to insure the health and safety of group exercise participants.
  • Adhere to all Safe from Harm Policies and Procedures as established by The Salvation Army.
  • Generate legible and accurate accident and incident reports as required and immediately rectify or notify appropriate personnel of all accidents or potentially unsafe conditions.
  • Assist in the development of systems that safeguard all facilities, supplies and equipment related to the Athletic Department and facilities of the RJKCCC.
  • Ensure to follow the Emergency Disaster Evacuation Plan for the Athletics area.
  • Ensure that all athletic equipment is maintained and properly inventoried during your shift.
  • Help to implement and maintain an equipment checkout program
  • Help develop and enforce the work schedule for the department based on the needs of the program and the approved hours and status of employment.
