About The Position

Bentley Prima Vista, is Bentley Mills’ artisan brand of hand made rugs and specialty wools. We are a growing a business that reflects the artistry and personal attention behind every piece. We are seeking a friendly, detail-oriented, and customer-focused individual to join our team as a Specialty Concierge Representative to be the voice and service of our customer experience. Job Summary: We are seeking a highly organized and detailed concierge representative with a focus on order entry. You’ll guide customers and account executives (AE) through the processing of purchase orders, submittals, deposits and order entry. In this role, you will be providing support, answering inquiries, resolving issues, and ensuring a positive experience with our products/services. This is a fast paced role seeking someone who feels comfortable multi tasking and managing emails and working with numbers.

Requirements

  • Min. (1) year administrative experience required, (2) to (5) years experience preferred
  • Previous experience in customer service, ideally with high-end or custom products
  • Comfortable working with numbers and calculations
  • Ability to work in a fast paced environment and manage, high volume of emails
  • Strong attention to detail, problem solving skills and organizational abilities.
  • Experience in a client-facing role.
  • Excellent verbal and written communication skills.
  • Self-motivated; able to work independently or as a successful team member
  • Comfort using CRM and communication tools (e.g., Salesforce, Microsoft Office, FedEx).
  • Ability to stay calm and professional under pressure.
  • Appreciation for craftsmanship, interior design, or textiles is a plus!
  • Associate or Bachelor’s degree is a plus.

  • Knowledge of Excel, Google Docs, Drop Box, WeTransfer, Power Point
  • Experience in related industry.

Responsibilities

  • Serve as the point of contact for order inquiries via email, phone, and chat.
  • Assist clients with processing their purchase orders by obtaining all submittals required for order entry.
  • Collaborate with other departments to fully execute PO’s
  • Review purchase orders for accuracy and process across AS400 and Net Suites
  • Provide accurate, valid, and complete information using multiple resources.
  • Maintain detailed and accurate customer records in our CRM Sales Force system.
  • Maintain weekly order entry report
  • Educate customers on our materials, process, and care instructions for handmade rugs through SOP for order acknowledgment
  • Coordinate closely with Specialty Production Assistant to track orders and communicate updates.
  • Increase customer experience and help build lasting relationships with clients by delivering exceptional, personalize service.
