This position is Supervised by: Director, Technical Operations This position Supervises/Manages: None Essential Functions of the Position: • Update animal information and maintain individual animal records through database system and internal shelter paperwork. • Verify individual animal records before moving them forward to foster and/or an outcome. • Update existing data in shelter database. • Oversee the shelter database processes and accurately transfer data from paper/virtual formats into shelter database system. • Verify data by comparing it to source documents. • Run daily reports and create spread sheets based on animal population and assist with animal movement. • Retrieve data from the database or electronic files as requested • Maintain all paper source records accurately and securely. • Maintain policies and procedures for ensuring the integrity of the shelter database. • Assist with training staff and volunteers on shelter database entry procedures, report generation and work with staff to ensure that data entry procedures are followed. • Proactively identify opportunities for systems and workflow improvements, recognize potential problems, and provide recommendations for solutions. • Report observed health or behavior issues to Director. • Work alongside ACC staff and volunteers closely and provide ongoing assistance. • Attend weekly rounds to update database information in real time. • Report to work at assigned start time; go to/return from breaks and lunch at assigned times; leave work at assigned quitting time. • Actively engage with volunteers in such a way that provides support for our volunteers and staff and proactively improves our volunteer program. • Be an ambassador for the SPCA of Texas, sharing the work and mission with your friends and family and be knowledgeable of the various ways to support our work. • Additional tasks assigned by Director. Typical decisions this position has TOTAL authority to make: • Movement of the animals through stages in shelter database, including making animals available for adoption, after verification of animal’s history. • Routine decisions regarding the proper care and handling of animals. Typical problems this position will face: • Dealing with fractious animals. • Regular exposure to animal odors, diseases, possible contagious conditions, bites, scratches, animal waste and moderate noise levels. • Managing multiple tasks simultaneously. • Communicating with several departments to identify how the animal will forward. Knowledge, skill, and abilities needed to perform the Essential functions of this position: • Must demonstrate the Core Values of the SPCA of Texas on and off the job. Follow the mission of the SPCA of Texas. • Knowledge of SPCA of Texas policies and protocols, such as, but not limited to, intake, adoption, cleaning and medical protocols. • Working knowledge of breeds, diseases, medical conditions, and animal handling and behavior. • Experience with data entry along with efficient and effective typing skills. • Experience in using Microsoft Office software including word, excel and power point. • Basic understanding of Petpoint. • Ability to handle animals safely and with patience and gentleness. • Ability to represent the SPCA of Texas in a professional manner in all situations with the public, volunteers, and staff. • Ability to create and sustain positive working relationships within the SPCA of Texas, with volunteers, the public, and be a team player. • Must be patient, courteous and work well under stressful conditions. • Knowledge and ability to accurately work with detailed information in paper and computerized format. • Ability to read, write and communicate effectively. • Ability to learn and quickly adapt to changes in programs and procedures. WORKING CONDITIONS • The individual performing this job may be required to work more than 8 hours in a day or 40 hours in a week. Tuesday thru Saturday from 9AM to 6PM
