About The Position

Performs specialized clerical and administrative duties in Construction, Engineering and Infrastructure department.     Performs various special programs in insurance and sales tax saving programs.  Works directly with contractors, subcontractors, architects, engineers and external agencies.  Reports to the Senior Project Analyst. Essential Functions Tracks change orders, contingency, allowance requests and update accounting logs.  Process applications for payment from contractors, designers and consultants.  Process contractor and subcontractor insurance certificates compliance.  Assist with bid packages and contract preparation and assist in bid openings.  Prepare commission adenga items and backup. Process and track all construction- related claims.  Assist in prequalification of contractors, designers and consultants and tracking status and renewals Maintains project logs and project log files for each project for contractors, designers and consultants.  Processes submittals, RFI's, ASI's , and FA's.  Process all Special Category Materials for sales tax savings, including set up of Owner Direct Purchases, processing invoices and tracking status of open accounts.  Input information into Netsuite for purchase orders During emergency conditions, all CPA employees are automatically considered essential employees and may be subject to recall.  These events may include, but are not limited to, natural, man-made, or public health emergencies. Employees may be expected to perform emergency and/or recovery operations outside of their normal assigned responsibilities and routine working hours.

Requirements

  • High School diploma or GED equivalent
  • Five (5) years of construction administration experience
  • Must have proficiency with Microsoft Office Program (Word, Excel, PowerPoint, and Outlook)
  • Must have strong verbal and written communication abilities
  • Must have excellent customer service skills
  • Must have ability to problem solve, show initiative, and plan and organize
  • Must be detail orientated
  • Possess a valid Florida Driver’s License or the ability to obtain one within 30 days
  • Tasks involve the ability to exert light physical effort in sedentary to light work
  • May involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (20-30 pounds)

Nice To Haves

  • Experience and working knowledge of ERP systems, specifically procurement and vendor modules, preferred
