About The Position

The Academic Records Specialist is responsible for providing operational leadership and general supervision for coordinating transcripts, oversees scheduling, and verifies academic components with departments and organizations. Provides relevant training to departments relating to the schedule. Responsible for the maintenance of academic records and website, for personal contacts with students or general public in furnishing routine information, and interpreting policies and procedures.

Requirements

  • Bachelor’s degree
  • 2 years of higher education experience

Responsibilities

  • Coordinate the beginning of term set up for registration and schedule
  • Review, maintain, and adjust the academic course schedule while serving as the institutional liaison to academic departments for CourseLeaf Section Scheduler (CLSS)
  • Process official academic transcripts, troubleshoot transcript-related issues, and serve as liaison between the transcript vendor and students
  • Create special population academic terms and register students accordingly
  • Perform GPA verification for Tuition Assistance and Student Life Organizations
  • Support the Assistant Registrar, Compliance by providing transcript and enrollment verification services for NCAA academic certification and and maintaining archived academic records
  • Create and deliver end-user training for schedule management systems each term
  • Prepare reports as requested
  • Process Undergraduate Program of Study changes as assigned
  • Verify and process course merge authorizations
  • Assist with answering phones, processing in-office transcript and enrollment verification requests, and responding to general inquiries in compliance with FERPA
  • Complete monthly bank reports and prepare deposit documentation related to in-office transcript printing, online transcript surcharges, and degree verification surcharges
  • Assist with first day fee entry and monitoring
  • Assist with late registration processing as needed
  • Maintain and update Office of the Registrar website content as assigned
  • Serve as the primary waitlisting contact for academic departments and students, while facilitating communication related to waitlisted course registration
  • Perform other duties as assigned
