About The Position

Responsible for the support and implementation of standards, processes, and procedures pertaining to the sourcing and vendor management activities of services and/or products. Conducts research and analysis within category and industry markets to conduct proactive and collaborative sourcing operations, competitive bidding events, and support internal processes. Negotiates favorable terms and conditions that have a positive financial impact on the organization. Supports vendor evaluation processes that ensure agreement terms, conditions, costs and delivery are met according to business partner expectations.

Requirements

  • Bachelor's degree and two years’ related experience required; or
  • Associate’s degree and four years’ related experience required; or
  • High school diploma or GED and six years’ related experience required.
  • Knowledge of word processing and spreadsheet software required.

Nice To Haves

  • Demonstrated experience in contract negotiation, strategic sourcing, or supplier/vendor relationship management preferred.
  • Knowledge of contract relationships to financial/operation reporting preferred.
  • Ability to perform sourcing and purchasing activities for multi-site Facilities/MRO services and supplies (e.g., janitorial, waste, snow/ice, landscaping, pest, security, office furniture, office products, safety, HVAC/electrical/plumbing) by running RFx/bid leveling and rate negotiations, setting up blanket POs/catalogs and compliant buying channels, and managing invoice exceptions, escalations, and SLA/KPI performance to ensure consistent service and minimize off-contract spend.
  • Proven experience with procurement processes and enabling systems (requisition-to-pay controls, catalog/punchout, contract repository, supplier onboarding, and invoice/3-way match workflows) using ERP/eProcurement and spend analytics to enforce compliance, streamline multi-site buying, vendor rationalization, and track savings, service levels, and vendor performance.
  • Demonstrated experience performing Corporate Services (MRO) sourcing, supporting supplier governance, and assisting in end-to-end procurement activities (RFx development, bid analysis, negotiation, award recommendation), conducting market research (SOW structures, rate analysis), and leading ongoing performance management (KPI scorecards, QBRs, issue resolution) to deliver measurable outcomes to numerous stakeholders.

Responsibilities

  • Proactively conducts and supports all aspects of the competitive bidding process, from industry research, vendor submission, response evaluation and award selection to create cross functional, value-add, advantages for internal business and/or IT leaders.
  • Provides coaching, advice, and training on matters of policy, ethics, tactics, and mechanics of supporting competitive bidding events.
  • Aligns terms and conditions within agreements that effectively achieve desired outcomes, through the consideration and collaboration across cross-functional areas.
  • Conducts negotiation preparation actions, develops appropriate strategies with stakeholders, and effectively operates against the plan.
  • Drafts, negotiates, and successfully executes standard agreements with vendors to deliver valuable and impactful terms and conditions to the organization.
  • Develops and maintains relationships with key vendors to sustain comprehensive knowledge of current, and projected, industry insights that support business needs.
  • Articulates internal business needs and manages vendor performance requirements to build competitive and collaborative relationships.
  • Researches and discusses basic industry trends and category concepts, conducts analysis on products, services, and pricing innovations with business and/or IT leaders. Applies appropriate market insights and research to support negotiations and agreement development strategies that deliver the best total value to the organization.
  • Participates in the establishment, monitoring and management of annual goals and objectives to ensure vendor performance consistently meets desired pricing, quality, delivery, and support expectations.
  • Applies vendor segmentation criteria and aligns vendor management with expectations. Guides internal stakeholders through proactive collaboration across the organization to achieve desired and expected service levels and outcomes.
  • Completes special projects and participates in process improvement initiatives as required.
