About The Position

This position provides administrative support to the Site Manager and Supervisors. Key duties include managing weekly payroll summaries, tracking staffing agency employees and their hours, updating master crew sheets, and maintaining employee training matrices (annual and specialized). The role also involves tracking and uploading supervisor safety talks, updating seniority lists, and assisting managers and supervisors with employee documentation such as written warnings, attendance warnings, and Personnel Change Notices (PCN’s). The Site Administrator helps with recruitment and the interview process, compiles new hire paperwork, conducts new hire orientation, and schedules new hire training/safety training. Additional responsibilities include compiling overtime equalization, authorizing visitors, assisting with computer training issues, and performing general office tasks like photocopying, scanning, faxing, and maintaining files. The role requires working independently and as part of a team on special and ongoing projects.

Requirements

  • Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
  • Knowledge of Internet software.
  • Knowledge of Payroll systems.
  • Knowledge of Spreadsheet software.
  • Knowledge of Word Processing software.
  • Ability to stand, walk, sit and talk or hear.
  • Ability to use hands to finger, handle, or feel and reach with hands and arms.
  • Ability to occasionally climb or balance and stoop, kneel, crouch, or crawl.
  • Ability to frequently lift and/or move up to 50 pounds.

Responsibilities

  • Performs weekly payroll summary and submits to corporate payroll for processing by deadline.
  • Staffing Agency Tracking Matrix listing all employees present daily, total and how many hours per day for part time on call employees).
  • Master crew sheets updates (whenever workload leveling changes job descriptions, employees are moved to different jobs).
  • Track All Employee Training Matrix (annual & specialized: fork truck, riding scrubber, burden carrier, tugger, strip & wax floors, KaiVac, Kaizen, etc.).
  • Safety Talk Matrices – Track weekly supervisor safety talks completed/track hourly safety talks completed. Upload Safety Talk Matrices to OWL.
  • Staffing Agency tracking/updating seniority lists within the facility.
  • Assists managers and supervisors with employee documentation including written warnings, attendance warnings and Personnel Change Notices (PCN’s).
  • Assists with recruitment and interview process, as requested.
  • Compiles new hire paperwork to include collective bargaining agreement, Standards of Conduct and Work Rules. Forward completed documents to corporate office.
  • Conducts new hire orientation. Schedules new hire training/safety training.
  • Compiles overtime equalization and posting, as needed.
  • Authorizes visitors.
  • Assists site manager and supervisors in computer training issues, as needed.
  • Makes photocopies, scans and faxes. Maintains files, papers and documents into appropriate files.
  • Works independently and within a team on special and nonrecurring and ongoing projects.
