About The Position

The Site Administrative Coordinator at Jabil, Inc. provides comprehensive administrative, operational, and logistical support to ensure the smooth and efficient functioning of the site. This role serves as a central point of coordination for site activities, customer visits, and internal events, supports site leadership, and helps create a professional, welcoming, and well-organized work environment for employees and visitors.

Requirements

  • High school diploma or equivalent required; Associate’s degree or higher in business administration or a related field preferred
  • 2+ years of experience in an administrative, site coordination, or project coordination role, preferably in a manufacturing or corporate office environment
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) required
  • Strong written and verbal communication skills with a professional and customer-focused demeanor
  • Excellent organizational and time management skills with the ability to prioritize tasks and manage multiple projects simultaneously
  • High attention to detail and accuracy
  • Ability to work independently with minimal supervision and collaboratively as part of a team
  • Ability to work on-site at the Austin facility, and at times, work extended hours as required
  • Proven ability to handle confidential information with discretion
  • Experience with office equipment and technology (printers, scanners, video conferencing systems)
  • Strong problem-solving skills with a proactive, service-oriented approach

Responsibilities

  • Provide comprehensive administrative support to site leadership, including managing calendars, scheduling meetings, arranging travel, and preparing presentations and reports.
  • Coordinate customer and visitor site visits, including scheduling, attendee communication, hotel information, conference room setup, catering, and preparation of welcome materials.
  • Maintain a calendar of onsite groups to ensure adequate space, resources, and support availability.
  • Organize and support onsite meetings for staff, vendors, forums, and training sessions.
  • Manage office supplies, equipment, break room snacks, coffee service, and weekly orders; oversee janitorial coordination and conference room upkeep.
  • Serve as the primary point of contact for visitors, internal teams, and external partners, maintaining a professional and welcoming presence at the site.
  • Support site-level activities and events such as volunteer initiatives, celebrations, festivals, team-building events, and health & wellness programs.
  • Assist with onboarding for interns and new employees, including workspace preparation, IT coordination, and administrative guidance; support JET program tracking as needed.
  • Assist with facility-related requests and work orders to ensure timely resolution of maintenance and operational issues.
  • Process expense reports, travel arrangements, purchase requisitions, invoices, and Coupa transactions accurately and in a timely manner.
  • Organize and maintain physical and electronic filing systems, ensuring confidentiality and ease of retrieval.
  • Perform data entry, record-keeping, and generate reports as required.
  • Manage incoming and outgoing mail and shipments.
  • Collaborate with cross-functional teams to ensure seamless administrative and site operations.
  • Adhere to all company policies, procedures, and safety regulations.
  • Perform other duties as needed to support overall site operations.
